When a new submission is received in FormKeep, send a WhatsApp message via WhatsApp Cloud API
When FormKeep receives a new form submission, this workflow sends a WhatsApp text through the WhatsApp Cloud API to a number you map. WhatsApp holds back free-form text unless the recipient wrote to you within the past day.

What this workflow does
FormKeep collects submissions from forms on static sites and apps, but answering them is still up to you. If you want the reply to start on WhatsApp, this workflow sends a text message as each submission arrives, using the details the person gave.
The FormKeep trigger New Submission fires when a submission is received and passes its fields to FlowMattic. The WhatsApp Cloud API step runs Send Text Message. You map the phone number from the form as the recipient and write the text, adding the person's name or other answers.
Know this limit before you switch it on. A free-form WhatsApp text is delivered only inside the 24-hour window that opens when the recipient messages your business number. Someone who only filled in your form, and never wrote to you on WhatsApp, usually won't receive this message. For that first contact, change the action to Send Template Message and use a template WhatsApp has approved. Task History shows the response from WhatsApp for every run.
Alert a staff phone about each FormKeep entry
Set the recipient to a staff member's number instead of the submitter's. Free-form text still needs that person to have messaged your business number in the last 24 hours, so a template message is the dependable choice.
Reply to people who started on WhatsApp
Your WhatsApp chat sends people a FormKeep form link for their details. Because they messaged you first, the text with their answers can reach them.
Booking requests on a static site
A FormKeep booking form collects a phone number and preferred date. With an approved template in place of the text step, each person gets a WhatsApp acknowledgement.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
FormKeep New SubmissionFires when FormKeep receives a new submission from your form. Every submitted field, including any phone number, is passed to the WhatsApp step.
WhatsApp Cloud API Send Text MessageSends a free-form WhatsApp text through your WhatsApp Cloud API connection. Map the recipient's number and write the message. WhatsApp delivers it only within 24 hours of that person messaging you.
What you need
- FlowMatticCore
- FormKeep AccountAccount
- WhatsApp Cloud API AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- To reach people who have never messaged your business, replace this step with WhatsApp Cloud API's Send Template Message and choose an approved template.
- Ask for the phone number with the country code in your FormKeep form, so the number can be used as the WhatsApp recipient without changes.
- Add a Filter after the trigger that continues only when the phone field is filled in, so empty numbers don't produce failed sends in Task History.
Questions about this workflow
Will someone who only filled in my FormKeep form get the WhatsApp text?
Usually not. Plain text messages only go through in the 24 hours after that person last wrote to your WhatsApp business number. Use Send Template Message with an approved template for first contact.
Do I need a WhatsApp Business account for the Cloud API?
Yes. The WhatsApp Cloud API works with a business number set up through Meta, which you connect in FlowMattic when you import the workflow.
What happens when WhatsApp rejects the message?
The workflow records the response on the WhatsApp step in Task History, so you can see why it was not delivered. The submission stays in FormKeep.
Can the WhatsApp text include the FormKeep answers?
Yes. Any field from the submission can be placed in the message, such as the person's name or what they asked for.
