What this workflow does
Some sales don't fit a normal checkout. A customer asks for a custom quote, a bulk order or a pre-order through a form, and someone then rebuilds that request as an order in WooCommerce. This workflow creates the order for you from the form entry.
The Ninja Forms trigger runs when a visitor submits a form. Their answers, such as name, email, address and the item they asked for, are handed to the next step. The WooCommerce step creates a new order in your store. You decide which form answers go into the order.
The workflow only creates the order record. It does not take a payment, so handle payment the way you normally would for manual orders. Both plugins run on your WordPress site, so the data stays there. Task History shows each run and the order WooCommerce created.
Wholesale order requests
Trade customers fill in a Ninja Forms order sheet with quantities. Each submission becomes a WooCommerce order your team can process and invoice.
Pre-orders for a product not yet in stock
A pre-order form collects the buyer's details, and the order appears in WooCommerce so you can see demand and contact buyers when stock arrives.
Phone or in-person sales logged by staff
Staff enter a sale through an internal form, and it is recorded as an order alongside your online orders.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Ninja Forms New Form SubmissionRuns each time a visitor submits a Ninja Forms form on your site. All submitted answers are available to map into the WooCommerce order.
WooCommerce Create New OrderCreates a new order in WooCommerce. Map the customer's answers from the form into the order, then do a test run to see what the step needs and how the finished order looks.
What you need
- FlowMatticCore
- Ninja Forms PluginPlugin
- WooCommerce PluginPlugin
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter after the trigger so only the order form starts a run, if other Ninja Forms forms on your site would otherwise reach this step.
- If buyers pick an item on the form, use a dropdown whose values match your WooCommerce product names, so there are no typos to sort out when mapping the order.
- Send a test submission after import, then open the new order in WooCommerce to confirm the customer and product details landed where you expected.
Questions about this workflow
Does the WooCommerce order get paid when the Ninja Forms entry is sent?
No. The workflow creates the order but takes no payment. Collect payment separately and update the order in WooCommerce.
Do Ninja Forms and WooCommerce need to be on the same site as FlowMattic?
Yes. Both are WordPress plugins, and the trigger and the order step both run on the site where FlowMattic is installed.
What happens if the same customer submits the form twice?
Each submission starts its own run, so two submissions create two separate WooCommerce orders.
Can a single order include several products from the form?
Run a test of the WooCommerce step after import to see how it takes products, then shape the form to match.
