Send a branded PDF receipt for every successful Stripe payment

Each successful Stripe charge fills your PDF Builder template with the payment details, saves the receipt to your Media Library, and emails the customer a link to the PDF through your site’s mail.

Stripe PDF Builder Email

The Send a branded PDF receipt for every successful Stripe payment workflow on the FlowMattic canvas, with 3 steps across Stripe, PDF Builder, Email
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Stripe can send its own receipts, but they carry Stripe's layout. If you want receipts that match your brand and include your own wording, this workflow builds one from a PDF template you design and emails it to the customer after each successful payment.

A run begins with the Stripe New Charge trigger, which FlowMattic describes as firing for each new charge that is successful. The PDF Builder step then fills a saved template with the charge data you map, such as amount, currency and date, and saves the PDF to the WordPress Media Library as receipt- followed by the charge ID. The template ID in the import is 12, a placeholder, so choose your own template afterwards.

The last step uses FlowMattic's Email module, through WordPress mail or your SMTP account. It sends to the billing email on the charge with the subject Your payment receipt, greets the customer by billing name, thanks them and includes the PDF's link. The receipt goes as a link, not an attachment.

The billing email is only on the charge if your checkout collects it. Make a test payment and check Task History for the email address and the PDF link. Media Library files are reachable by anyone with the link, so keep that in mind for what the receipt shows.

Branded receipts for a consultancy

A consultant who takes payments by Stripe sends receipts with the business logo, address and tax number laid out in their own PDF template.

Receipts for event or class bookings

A yoga studio paid through Stripe sends each attendee a PDF receipt with the studio's branding, which they can keep for expense claims.

Payment confirmation for donations

A small charity collecting donations by Stripe emails donors a PDF receipt that matches its letterhead.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Stripe New Charge

Runs for each Stripe charge that goes through successfully. The charge details, including the amount, ID and billing name and email where collected, pass to the PDF and Email steps.

  2. Step 2Action
PDF Builder Generate PDF from Template

Fills your PDF Builder template with the charge data and saves the receipt to the Media Library as receipt- plus the charge ID. Replace the placeholder template ID 12 with your own and map the fields.

  3. Step 3Action
    Email Send Email

Emails the billing address on the charge with the subject Your payment receipt. The message thanks the customer by name and links to the PDF. Delivery uses your site's WordPress mail unless you enter SMTP details.

What you need

  • FlowMatticCore
  • Stripe AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Attach the PDF instead of linking it: FlowMattic's Email step can attach files stored on your WordPress site, so add the generated receipt as an attachment.
  • Turn off Stripe's own email receipts in your Stripe settings if you don't want customers to get two receipts for the same payment.
  • Put a Filter between the Stripe trigger and the PDF Builder step that continues only when the billing email is not empty, so charges without an address don't produce receipts nobody receives.

Questions about this workflow

Is the Stripe receipt attached to the email?

Not as imported. The message carries a link to the receipt file stored in your Media Library. To attach it instead, use the Email step's attachment option with the file PDF Builder saved.

What if a Stripe charge has no billing email?

Then the email has no address to go to, and Task History shows what the Email step returned. Collect email addresses at checkout, and check a test charge in Task History.

Can I design the receipt layout myself?

Yes. The PDF comes from a template you save in PDF Builder. Build the layout with your logo and details, then select that template in the step and map the Stripe charge fields.

Does every Stripe payment trigger a receipt?

Every successful charge does. Failed charges don't fire the New Charge trigger, so only payments that went through produce a PDF and an email.
