Connect WooCommerce Subscriptions and Google Sheets

Subscription stores live on recurring numbers: how many signed up, who renewed, whose card failed and who left. FlowMattic writes those WooCommerce Subscriptions events into Google Sheets from your WordPress site, so owners and finance staff can watch churn and revenue in a sheet, and support can extend or pause a subscription by editing a row.

WooCommerce Subscriptions and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Log every new subscription as a row for analytics

Each signup adds a row with the customer, product, billing period, price and start date, giving you a running ledger of recurring signups to chart by month.

Record each renewal payment and thank the customer

Successful payments go to a Renewals tab for revenue tracking, and an Email (SMTP) step sends a short thank-you so long-term subscribers feel noticed.

Build a dunning list of failed renewal payments

Every failed renewal adds the subscriber, amount and date to a Failed payments tab, so someone can call or email them before the subscription lapses.

Mark cancelled subscriptions on their original row

When a subscription is cancelled, FlowMattic finds its row by subscription ID and fills in the end date and status, so the signup ledger also shows churn.

Track upgrades and downgrades in a switch log

Subscription Switched writes the old and new product with the date, which shows which plans people move to and whether a price change pushed them down a tier.

Extend a subscription when support adds free days in the sheet

Support types a subscription ID and a number of days on a Goodwill tab. Each new row extends that subscription and adds a note saying why.

Change a subscription's status from a status column

Editing the status column to on-hold or active updates the subscription in WooCommerce, so account managers handle pauses from a shared sheet without wp-admin access.

Set up: new subscriptions in a sheet

When you finish, every new WooCommerce subscription adds one row to your subscriptions sheet.

  1. Prepare the sheet

Create a spreadsheet with columns such as Subscription ID, Date, Customer, Email, Product, Billing period and Total.

  2. Connect Google Sheets

Add a Google Sheets connection under Connects. WooCommerce Subscriptions runs on your site and needs no connection.

  3. Start with Subscription Created

Create a workflow with the Subscription Created trigger and place a test subscription order to capture the data.

  4. Map Add New Row

Add Add New Row, pick the spreadsheet and tab, map the subscription fields to the columns, test it and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Keep the subscription ID in its own column. Lookups for cancellations, notes and sheet-driven changes all depend on it.
  • Subscription Payment Complete covers any subscription payment, including the first. Use Subscription Renewal Payment Complete if you only want renewals.
  • Sheet-to-store workflows act on whatever is typed. A Filter that checks the value is on-hold or active stops a typo from cancelling someone.
  • Writing to the tab that a Google Sheets trigger watches can start that workflow again. Use separate tabs for logs and for edits.

Why run this pair with FlowMattic

WooCommerce Subscriptions and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Recurring numbers in one place

Signups, renewals, failures, switches and cancellations each have a tab, which makes churn and revenue easy to see.

Customer data stays with you

FlowMattic runs on your own WordPress site, so subscriber details go from your store to Google directly.

Renewal day costs the same

Runs are unlimited, so hundreds of renewals on the first of the month need no bigger plan.

Common questions

Can I see monthly recurring revenue in Google Sheets?

Yes. Log new subscriptions and renewal payments in their own tabs with the recurring total and date. A pivot table or SUMIFS formula by month then gives you recurring revenue without any export.

Can I log trials separately?

Yes. Subscription Trial Ended writes a row when a trial finishes, and a Router can split converted and cancelled trials into different tabs.

Can the sheet create new subscriptions?

Yes. A New Spreadsheet Row trigger can run Create Subscription for a customer. Check the user ID and product in the row first so mistakes do not create real subscriptions.

What happens to the row when a subscription is deleted?

Nothing unless you build it. Subscription Deleted can find the row with Lookup Row Data and mark it, or remove it with Delete Row.

Can each subscription product get its own tab?

Yes. Put a Router after the trigger with a condition on the product name, and point each path's Add New Row at a different tab, so a coffee club and a software plan are reported apart.
