Connect AI Agents and Google Calendar

Give an AI agent the jobs around your Google Calendar that nobody gets to. Before a meeting it writes a short brief, after the meeting it drafts the follow-up, and when a request comes in it reads your free time and books a slot. FlowMattic runs the agent on your own WordPress site with the AI provider you choose.

When Google Calendar fires New Calendar, FlowMattic runs Execute Agent in AI Agents with the data from that event.

AI Agents and Google Calendar workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Email a short brief before each client meeting starts

Event Start runs a set time before the meeting. The agent reads the title, attendees and description and writes a few lines on who is coming and what to cover, sent to the organiser.

Draft a follow-up email when a meeting ends

When the event ends, the agent drafts a thank-you and next-steps email for the attendees. Human in the Loop lets the organiser approve or change it before it is sent.

Add a draft agenda to meetings created without one

A Filter keeps only events with an empty description. The agent writes a simple agenda from the title and attendees, and Update Event puts it in the invite everyone sees.

Book a call in a free slot from an incoming request

A request arrives by Webhook from your site or another app. Find Availability returns your open times, the agent picks one that fits the request, and Create Detailed Event books it with the requester invited.

Get a Monday summary of the week's calendar

Each Monday morning List Events pulls the week ahead and the agent writes a short plan: the busiest days, back-to-back runs and meetings that still have no agenda.

Offer new times when a meeting is cancelled

When an event is cancelled, Find Availability looks up the next open slots and the agent writes a short note to the attendees offering two or three of them.

Write a promotion post for each new public event

Events whose title matches a word such as webinar start the workflow. The agent turns the event details into a short announcement that you send to your list.

Set up: a brief before each meeting

At the end, the organiser gets a short AI-written brief by email a set time before each meeting on the calendar.

  1. Connect Google Calendar

Under Connects, add Google Calendar with the Google account whose calendar holds your meetings.

  2. Trigger on Event Start

Create a workflow with Google Calendar Event Start, pick the calendar and how long before the start it should run.

  3. Add the agent

Add AI Agents Execute Agent, choose your AI provider and model, and pass it the event title, time, attendees and description.

  4. Write the goal

Tell the agent to write a brief of five lines or fewer and to say so when the event has too little detail, rather than guess.

  5. Send the brief

Add an Email (SMTP) step to the organiser with the agent's answer, test it on a real upcoming event and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • AI Agents has no trigger, so these workflows start from a Google Calendar event, a Schedule or a Webhook.
  • New or Updated Event also runs when your own Update Event step changes an event. Keep the empty-description Filter so the agenda workflow does not run again on its own edit.
  • Agents can get times wrong across time zones. Pass the calendar's time zone in the input, or format dates with Date/Time Formatter before the agent reads them.
  • Event Start and Event Ended run for every event on the chosen calendar, so a separate calendar or a title Filter keeps personal events out.

Why run this pair with FlowMattic

AI Agents and Google Calendar connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

The busywork around meetings gets done

Briefs, agendas and follow-ups are written for every meeting, not only for the ones someone had time to prepare.

A person signs off where it matters

Human in the Loop steps let you approve follow-ups before they reach attendees, so the agent drafts and you decide.

Agent runs at no extra charge

FlowMattic runs on your WordPress site with unlimited runs, so you pay only your AI provider for what the agent writes.

Common questions

Can an AI agent read my Google Calendar and book meetings?

Yes. Use Find Availability or List Events to give the agent your calendar data, then let Create Detailed Event book the slot it picks. Start with a test calendar until you trust its choices.

Which AI model does the agent use?

The provider and model you set in the Execute Agent step. Use a smaller model for short briefs and labels, and a larger one when it has to weigh several free slots against a request.

Will the agent email my attendees without asking me?

Only if you build it that way. Put a Human in the Loop step before any email to attendees, and the message waits until you approve or edit it.

Can I use this with a shared team calendar?

Yes, as long as the connected Google account can see the calendar. To change events, such as adding an agenda, it needs permission to edit them too.

What does the agent see from each event?

Only the fields you pass to it, such as title, time, attendees and description. Leave out private notes or dial-in codes the task does not need.
