Connect Caspio and Google Sheets

Caspio apps hold your data in tables, and not everyone who needs that data should log in to them. FlowMattic copies new Caspio records into Google Sheets and follows each update and deletion, so a read-only copy of a table stays current for reporting, sharing with a client or building a quick chart.

2. ActionAdd New Row

When Caspio fires New Record, FlowMattic runs Add New Row in Google Sheets with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

Caspio and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each new Caspio record to a Google Sheet

Whenever a record is added to the chosen table, through a form, a DataPage or an import, it becomes a row with the same fields in the sheet.

Apply Caspio edits to the matching sheet row

When a record changes, find its row by the record's key field and overwrite the columns, so the sheet copy shows the same values as the Caspio table.

Remove rows when their Caspio record is deleted

Deleted Record finds the row by key and deletes it, so a client looking at the shared sheet never sees entries that no longer exist in the app.

Archive deleted records instead of losing them

For audit trails, write each deleted record to an archive tab with the deletion date. The Caspio table stays tidy and the history is still there.

Add or update, whichever the row needs

Records created before the workflow existed have no row yet. After the lookup, a Router updates rows that exist and adds the ones that are missing, so the sheet fills in as records change.

Share only approved records with a partner

A Filter passes records whose status field is approved, so the partner's sheet holds the finished entries and never the drafts still being worked on in Caspio.

Set up: new Caspio records as rows

At the end, each record added to your chosen Caspio table appears as a new row in Google Sheets.

  1. Match the columns

Give the sheet a header row that matches the table fields you want, and include the table's unique ID field so later workflows can find rows.

  2. Connect Caspio

Add your Caspio account under Connects, then create a workflow with Caspio and New Record and choose the table.

  3. Add a test record

Submit one record to that table so FlowMattic captures its fields.

  4. Write the row

Connect Google Sheets, add Add New Row, map each field to its column, test and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • The fields come from your own Caspio table, so the mapping above is an example. Always map the table's unique ID field; the update and delete workflows look rows up by it.
  • Each trigger watches the table you choose. To mirror several tables, build one set of workflows per table, each writing to its own tab.
  • The copy runs one way, from Caspio to Sheets. Editing a row in the sheet does not change the Caspio record.

Triggers (3)

  • New RecordTriggers when a new record is added to the chosen table.
  • Updated RecordTriggers when a record is updated to the chosen table.
  • Deleted RecordTriggers when a record is deleted from the chosen table.

Why run this pair with FlowMattic

Caspio and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Share data without more app users

Clients and colleagues read a Google Sheet, so you do not need a Caspio login or a new DataPage for every person who wants to look.

Records pass through your own server

FlowMattic runs on your WordPress site, so table data goes from Caspio to Google without another automation account holding it.

Busy tables, flat cost

Runs are unlimited, so a table that changes all day can be mirrored without paying per update.

Common questions

Can Google Sheets stay in sync with a Caspio table?

Yes, in one direction. New Record adds rows, Updated Record changes the matching row and Deleted Record removes or archives it. Use the record's unique ID to match rows in both workflows.

What about records that were in Caspio before I started?

They are not copied when you switch the workflow on. Export them from Caspio once and paste them into the sheet, or use the add-or-update example so each one appears the next time it changes.

Can I choose which fields go into the sheet?

Yes. Map only the columns you want in Add New Row. Fields you leave out stay in Caspio.

Will a deleted record delete the sheet row too?

Only if you build that workflow. Deleted Record with Lookup Row Data and Delete Row removes it; Add New Row on an archive tab keeps a copy instead.
