Connect easybill and Google Sheets

easybill holds your invoices, quotes, customers and SEPA runs. Google Sheets is where many bookkeepers and agency owners actually check the numbers. FlowMattic copies easybill events into the sheet from your own WordPress site: each new document becomes a row, payments mark it paid, and failed sends land on a list someone can work through.

2. ActionAdd New Row

When easybill fires Document Create, FlowMattic runs Add New Row in Google Sheets with the data from that event.

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Log every new easybill document as a ledger row

Each invoice, quote or credit note gets a row with its number, customer, date and total, so the finance sheet stays current without a CSV export at month end.

Mark the invoice row paid when a payment is recorded

Document Payment Add finds the invoice's row by document ID and writes the amount and payment date into it, so the open-items view in the sheet shrinks as money comes in.

Collect failed postbox sends and tell the bookkeeper

When an invoice email, letter or fax fails, the document and reason go onto a Failed sends tab and Email (SMTP) alerts whoever re-sends it, before the customer's due date slips.

Keep a customer list in step with easybill

When a customer's address or VAT number changes in easybill, the matching row is looked up and overwritten, so the sheet your sales team reads never shows the old details.

Build an item-level sales sheet from invoice positions

Position Create sends each invoice line on its own. Number Formatter tidies the price and quantity, and each line becomes a row you can pivot by product or service.

Record each exported SEPA file with its date

When a SEPA XML is exported, its reference and a formatted export date go into a register, giving the treasurer a simple history of which direct debit runs went to the bank.

Remove the row when a document is deleted

A draft deleted in easybill should not stay in the ledger. The row is found by document ID and deleted, so totals in the sheet match easybill.

Set up: new documents as ledger rows

At the end, every document created in easybill appears as one row in your ledger sheet.

  1. Prepare the ledger

Add a header row with columns such as Document ID, Number, Type, Customer, Date, Total and Status.

  2. Connect both accounts

Under Connects, add your easybill account and a Google account with edit access to the ledger spreadsheet.

  3. Trigger on Document Create

Create a workflow with the easybill Document Create trigger, then create a test invoice in easybill so FlowMattic captures its fields.

  4. Write the row

Add Google Sheets Add New Row, pick the ledger and tab, map the document fields to the columns and test the step before switching the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Document Create fires for every document type you create. Add a Filter on the type field if the ledger should hold invoices only.
  • Write easybill's document ID into the sheet. The payment, update and delete examples need it to find the right row.
  • Check how amounts arrive in the test data. If they come in cents, a Number Formatter step turns them into euros before the row is written.
  • The field names above are examples; your captured test document shows the exact fields to map.

Why run this pair with FlowMattic

easybill and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Billing data stays on your server

Customer names, addresses and invoice totals pass through your own WordPress site on the way to the sheet, not through an outside automation account.

Month-end needs no export

The ledger fills as documents are created and paid, so the accountant opens one sheet instead of downloading and merging easybill exports.

Many events, one flat price

Runs are unlimited, so logging every document, position and payment costs the same as logging a handful.

Common questions

Can I log invoices only and leave out quotes and credit notes?

Yes. Put a Filter after Document Create that continues only when the document type is an invoice. Or use a Router to send each type to its own tab.

How does the sheet show which invoices are paid?

A second workflow on Document Payment Add looks up the invoice row by document ID with Lookup Row Data and writes the amount and date with Update Row.

What happens when easybill cannot send an invoice?

Postbox Fail starts a workflow. Log the document and the send method on a separate tab and email the person responsible with Email (SMTP), so the invoice goes out again.

Do edits in the sheet change anything in easybill?

No. These workflows copy data from easybill into the sheet. Google Sheets triggers such as Update Specific Column Value can still start other workflows, for example to email your team when a row is marked as checked.

Can I keep customers and contacts in the same spreadsheet as invoices?

Yes. Use separate tabs. Customer Create and Contact Create add rows to their own tabs, and the update triggers keep those rows current with Lookup Row Data and Update Row.
