Connect MoonClerk and Google Sheets

MoonClerk collects one-time and recurring payments through simple checkout forms, which suits churches, schools, clubs and small businesses. FlowMattic writes MoonClerk payments and plan changes into Google Sheets from your WordPress site, so the treasurer or bookkeeper has a payment record, a list of active plans and a short list of failed charges.

MoonClerk and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Log every successful MoonClerk payment

Each payment that goes through becomes a row with payer, form, amount and date, a ledger the bookkeeper can reconcile against the bank.

Keep a register of active recurring plans

Each new plan is added to a Plans tab with the payer, amount and interval, so you can see recurring income at a glance.

Mark a plan as ended in the register

When a plan is canceled or runs out of payments, look it up and set an Ended date, so the active plans list stays accurate without manual edits.

Each failed recurring charge is logged on a Failed tab, then an email from your own mail server asks the payer to update their card.

Send each checkout form's payments to its own tab

A Router reads the form name, so donations, membership dues and event fees each land on their own tab and total separately.

Format amounts before they reach the ledger

Number Formatter sets decimals and separators on each amount, so totals in the sheet add up without fixing cells by hand.

Set up: successful payments as rows

At the end, every successful MoonClerk payment is added to your Google Sheet as one row.

  1. Prepare the sheet

Add a header row such as Date, Payer, Email, Form, Amount, Currency and Payment ID.

  2. Connect Google Sheets

In Connects, add a Google Sheets connection with an account that can edit the payments spreadsheet.

  3. Start with Payment Successful

Create a workflow with the MoonClerk Payment Successful trigger, follow its setup instructions and make a small test payment so FlowMattic captures the fields.

  4. Add New Row

Add Google Sheets Add New Row, map the payment fields to the columns, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Payment Created fires for payments in any state, and Payment Successful fires when one succeeds. Use one of them for the ledger, or a successful payment is written twice.
  • Keep the plan ID in the Plans tab so Plan Ended and Plan Payment Failed can find the right row with Lookup Row Data.
  • The mapping above is an example. Check the data captured from your test payment and map what MoonClerk sends.

Why run this pair with FlowMattic

MoonClerk and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Payer details stay on your server

Names, emails and amounts pass from MoonClerk through your own WordPress site into the sheet, not through an outside automation account.

Monthly plans add no cost

Every recurring charge is a run, and runs are unlimited, so a growing list of monthly donors or members needs no bigger plan.

A record the treasurer can use

Payments, plans and failures sit in one spreadsheet that a volunteer treasurer or bookkeeper already knows how to work with.

Common questions

Should I use Payment Created or Payment Successful?

Payment Successful for a ledger of money received. Payment Created fires for any state, including failed payments, which suits a full activity log with a status column.

Can I see which recurring plans are still active?

Yes. Add plans with Plan Created, then use Plan Ended to find the row and write an end date. Filter the Plans tab to rows without an end date.

Can I chase failed MoonClerk payments?

Yes. Plan Payment Failed starts a workflow that logs the failure with Add New Row and can send the payer a reminder with Email (SMTP).

Can donations and membership fees go to different tabs?

Yes. Add a Router after the payment trigger with one path per checkout form, each writing to its own tab or spreadsheet.
