When a tasklist is edited in Freelo, update the corresponding project in Monday.com

When a Freelo tasklist is edited, FlowMattic finds the matching Monday.com item by a column value, checks that one was found, and renames that item so both tools show the same project name.

The When a tasklist is edited in Freelo, update the corresponding project in Monday.com workflow on the FlowMattic canvas, with 4 steps across Freelo, Monday.com, Filter
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

If one team plans in Freelo and another tracks the same projects on a Monday.com board, names drift apart the moment someone edits a tasklist. This workflow keeps the Monday.com item's name in line with its Freelo tasklist, without anyone updating the board by hand.

The Freelo trigger fires when a tasklist is edited and passes the tasklist's data on. The first Monday.com step searches a board for an item whose column holds a given value. It ships unmapped, so after import you pick the board and the column, and map the Freelo value to look for, for example a tasklist ID you store in a text column on each item.

A Filter then continues only when the search returned an item ID. If no item matched, the run stops there and nothing on the board changes. The last step renames the item. Its item ID is already mapped to the first search result, and you map the new name, usually the Freelo tasklist name.

The match only works if each Monday.com item carries the Freelo value you search on. Test by editing a tasklist that has a matching item, and check Task History for what the search found.

Agency projects split across two tools

Designers plan work in Freelo tasklists while account managers report from a Monday.com board. Renaming a tasklist in Freelo renames the matching item on the board.

Client renames that reach the portfolio board

When a client project is renamed in Freelo after a rebrand, the Monday.com portfolio board picks up the new name on its next edit.

Keeping a shared ID column useful

A team stores each Freelo tasklist ID in a Monday.com text column, so every edit in Freelo finds the right board item and keeps its name current.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Freelo Tasklist Edited

Fires whenever a tasklist is edited in Freelo. The tasklist's data, such as its name, is passed to the Monday.com search and the rename step. Any edit to a tasklist starts a run.

  2. Step 2Action
Monday.com Get Item by Column Value

Searches a Monday.com board for an item whose chosen column holds a value. This step ships unmapped: pick the board and column, then map the Freelo value that identifies the project, such as a stored tasklist ID.

  3. Step 3Logic
    Filter Continue If Condition Meet

Lets the run go on only when the Monday.com search returned an item, by checking that the first result's item ID is not empty. Edits with no matching item stop here.

  4. Step 4Action
    Monday.com Update Item Name

Renames the Monday.com item that the search found. The item ID is mapped to the first search result in the template; map the new name after import, typically the edited Freelo tasklist name.

What you need

  • FlowMatticCore
  • Freelo AccountAccount
  • Monday.com AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a text column on your Monday.com board that holds each project's Freelo tasklist ID, and search on that column in step 2. Names change, IDs don't, so the lookup keeps working after a rename.
  • If several items could share a search value, keep the values unique. The rename step only uses the first item the search returns.
  • To copy more than the name, add Monday.com's Change Multiple Column Values action after the rename step and map the Freelo details you want on the board, reusing the item ID from the search.

Questions about this workflow

What happens if no Monday.com item matches the Freelo tasklist?

The Filter after the search continues only when an item ID came back. With no match, the run stops at the Filter and no item is renamed. Task History shows the empty search result.

Does this update anything besides the Monday.com item's name?

No. The last step is Update Item Name, so only the name changes. Other columns stay as they are unless you add more Monday.com steps after it.

Which Freelo edits start this workflow?

Any edit to a tasklist, since the Tasklist Edited trigger fires when a tasklist is edited. The rename then runs whenever a matching item is found, even if the name itself didn't change.

Can new Freelo tasklists create Monday.com items too?

Not with this template. FlowMattic's Freelo integration has a separate Tasklist Created trigger, which you could use in a second workflow that adds items to your board.

An excellent replacement to Zapier with unlimited tasks and full control over data. Customer service is fantastic! Have had hands-on support from owner who is ultra helpful and they have even been integrating new SAAS options continuously.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
