When a new WooCommerce order is received, route it by order total

Each new WooCommerce order goes down one route based on its total: orders of 100 or more send a priority alert email, smaller orders send a standard order notice. Set the recipient addresses after import.

The When a new WooCommerce order is received, route it by order total workflow on the FlowMattic canvas, with 4 steps across WooCommerce, Router, Email
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Not every order needs the same response. A big order may deserve a personal check or faster packing, while a small one just needs a quick thank-you. This workflow uses a Router to send each new WooCommerce order down one of two routes based on its total.

The trigger starts a run when an order is created. The Router then checks the order total. The Large order route continues when the total is greater than 99.99, and the Standard order route continues when it is less than 100. FlowMattic compares these as whole numbers, so cents are dropped: 99.99 counts as 99, and a total of 100.00 or more takes the Large route. A missing total counts as 0 and takes the Standard route. The two conditions can't both match, so each order follows exactly one route.

On the Large order route, an Email step sends a message to [email protected] with the order number, total and currency. Change that placeholder to your own address. On the Standard order route, the customer's billing email gets a thank-you that names them and the order number.

Both emails go out through FlowMattic's Email module, using WordPress mail or the SMTP account you configure. The text is already written, and you can edit it or change the 100 threshold to suit your store.

Hands-on check for big orders

A gift shop's owner gets an email for every order of 100 or more, so they can add a handwritten note or check stock before it ships.

Thank-you for everyday buyers

Customers who spend under 100 get a short thank-you email from the store, separate from WooCommerce's own order emails.

Wholesale enquiries spotted early

A supplier sees large orders flagged in the team inbox and calls the buyer to offer a trade account.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    WooCommerce New Order Created

The workflow starts automatically when a new order is created in WooCommerce. FlowMattic captures that data for the steps below.

  2. Step 2Logic
    Router 2 paths

The Router checks your conditions and sends each run down the matching path of 2 — Large order (100 or more), Standard order (under 100) — so different cases get different actions.

  3. Step 3Action
    Email Send Email

On the “Large order (100 or more)” path — Email — send an email using built-in WP mail function or custom SMTP. Data is mapped from earlier steps; connect your Email account on import.

  4. Step 4Action
    Email Send Email

On the “Standard order (under 100)” path — Email — send an email using built-in WP mail function or custom SMTP. Data is mapped from earlier steps; connect your Email account on import.

What you need

  • FlowMatticCore
  • WooCommerce PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • To move the threshold, change both route conditions together, for example greater than 249.99 and less than 250, so every order still matches exactly one route.
  • Connect the Email steps to your SMTP account instead of WordPress mail before going live, so customer thank-you emails don't rely on your host's mail setup.
  • Map the order's line items into the Large order email, so the person reading it can see what was bought without opening WooCommerce.
  • For a third tier, such as totals from 500 upward, give the Router between the WooCommerce trigger and the email steps a new route, and narrow the Large order route so no total matches both.

Questions about this workflow

Can a WooCommerce order trigger both emails?

No. The Router runs every route whose condition matches, but these two conditions don't overlap: totals compare as whole numbers, so an order is either 100 or more, or 99 and below.

Which route does an order of exactly 99.99 take?

The Standard order route. The comparison drops the cents, so 99.99 counts as 99, which is less than 100 and not greater than 99.

Who receives the large order alert?

As imported, [email protected], which is a placeholder. Change the To address in that Email step to your own inbox or a team address.

Does the order total include shipping and tax?

The route checks the order total WooCommerce passes to the trigger. Look at a test order in Task History to see the exact value that was compared.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
