Connect Kylas CRM and Google Sheets

Kylas CRM holds your leads, deals and quotations, but owners and finance teams often want them in a spreadsheet they can sort and share. FlowMattic writes Kylas CRM records into Google Sheets from your WordPress site and keeps each row current when the record changes, so reports start from data that matches the CRM.

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Log Kylas CRM lead events in a sheet

Every lead that is created, updated or deleted in Kylas gets a row, giving you a history of the pipeline that sales and marketing can both read.

Keep one row per deal and update it as it moves

Look up the deal ID first. A Router updates the existing row when the deal changes stage and adds a row only for a new deal, so the sheet mirrors the pipeline.

Remove a lead's row when it is deleted in the CRM

A Filter lets only delete events through, then Lookup Row Data finds the lead and Delete Row removes it, so the sheet does not keep leads the CRM has dropped.

Send quotations to a sheet finance can work from

Each quotation is written with its customer, products and total, so finance can forecast and prepare invoices without logging in to the CRM.

Track every logged call by rep

Calls recorded in Kylas are added to a Calls tab with the rep and related lead, which makes weekly activity counts a simple sheet filter.

List open tasks with readable due dates

Tasks created in the CRM land on a Tasks tab, with the due date formatted by Date/Time Formatter so the sheet sorts them in the right order.

Set up: lead events as rows

At the end, every lead event from Kylas CRM is written to your Google Sheet as one row.

  1. Prepare the sheet

Add a header row such as Lead ID, Name, Email, Phone, Source, Owner and Event.

  2. Connect Google Sheets

Under Connects, add a Google Sheets connection with an account that can edit the spreadsheet.

  3. Start with Lead Created

Create a workflow with the Kylas CRM Lead Created trigger, follow its setup instructions and create a test lead so FlowMattic captures its fields.

  4. Add New Row

Add Google Sheets Add New Row, map the lead fields to your columns, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Most Kylas CRM triggers fire when a record is created, updated or deleted, not only on creation. Check the event type with a Filter or Router before you add, update or delete a row.
  • Store the record ID from Kylas in every row. Updates and deletes use it with Lookup Row Data to find the right row.
  • Custom fields you add in Kylas CRM come through with the record, so add a column for each one you want to keep.

Why run this pair with FlowMattic

Kylas CRM and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Customer records stay on your server

Lead and deal data passes from Kylas CRM through your own WordPress site to the sheet, not through a third party's automation account.

Frequent updates need no bigger plan

Because updates fire too, a busy CRM sends many events. Runs are unlimited, so keeping the sheet current costs the same however active the team is.

Reports for people without a CRM seat

Owners, accountants and partners can read a shared sheet of deals and quotations without each needing a Kylas CRM login.

Common questions

Will the sheet update when a Kylas CRM lead changes?

Yes. Lead Created also fires on updates. Search the Lead ID column with Lookup Row Data, then use Update Row on the match so the sheet keeps one current row per lead.

Can a deleted lead disappear from the sheet too?

Yes. Put a Filter after Lead Created that passes only delete events, then Lookup Row Data and Delete Row. Or use Update Row to mark it deleted if you want to keep the history.

Which other Kylas records can go to Google Sheets?

Contacts, deals, companies, products, notes, tasks, quotations, meetings, calls and users each have a trigger. Give each one its own workflow and its own tab.

Can I build a pipeline report from the sheet?

Yes. Keep one row per deal with its stage and value, updated by the deal workflow, then use a pivot table or chart in Google Sheets to total by stage or owner.
