Connect Ortto and Google Sheets

Ortto holds your audience: people, the fields you track about them, their tags and the activities they perform. FlowMattic copies those changes into Google Sheets as they happen, so a sales lead list, a tagged segment or an activity log can be shared with people who do not work in Ortto.

When this happens in Ortto5 triggers

Do this in Google Sheets19 actions

1. TriggerNew Record Created
2. ActionAdd New Row

When Ortto fires New Record Created, FlowMattic runs Add New Row in Google Sheets with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

Ortto and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each new Ortto record to a sheet

Every person created in Ortto becomes a row with email, name and source, giving sales or partners a list they can work from.

Keep a person's row current when their fields change

Fields Updated finds the row by email and rewrites the columns you watch, such as company or lifecycle stage, so the shared list does not go stale.

Build a tab for each tag you add

When a tag is added, a Router writes the person to the tab named after it, so a VIP or webinar segment can be shared as its own list.

Remove people from the segment tab when a tag comes off

Tag Removed looks the person up in the tag's tab and deletes their row, so the shared segment matches Ortto.

Log only the activities you care about

A Filter passes only the activity types you choose, for example form submissions or purchases, and writes each one to an activity log.

Set up: new records as rows

When you finish, each new person created in Ortto is written to your sheet as a row.

  1. Prepare the columns

Create a sheet with headers such as Email, First name, Last name, Source and Created.

  2. Connect Google Sheets

Add a Google Sheets connection in Connects with an account that can edit the file.

  3. Start with New Record Created

Create a workflow, choose the Ortto New Record Created trigger, and complete the setup the trigger step shows.

  4. Add a test person

Create a record in Ortto so FlowMattic captures the fields that come with it.

  5. Map and test

Add Google Sheets Add New Row, map the record fields to the columns, test it and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Fields Updated fires for the fields you specify in the trigger, so choose the ones that matter to the sheet instead of every field.
  • Use email as the key in every tab. The update and tag-removal workflows find the row by it.
  • Field names depend on the custom fields in your Ortto account, so the mapping is an example.

Why run this pair with FlowMattic

Ortto and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Audience data on your server

Records and tags go from Ortto through your WordPress site to the sheet, with no other automation service holding them.

Large imports cost the same

Runs are unlimited, so importing thousands of people into Ortto does not use up a task allowance.

Segments people can open

Partners and sales staff can read a tagged list in a sheet without seats in Ortto.

Common questions

How do I sync Ortto contacts to Google Sheets?

Create a workflow with the Ortto New Record Created trigger and a Google Sheets Add New Row step. For updates, add a second workflow with Fields Updated that finds the row by email and runs Update Row.

Can I export one tagged segment?

Yes. Use Tag Added with a Router or Filter for that tag, and Tag Removed with Lookup Row Data and Delete Row, so the tab always lists the people who carry it.

Can I log email opens or purchases?

New Activity fires for the activities Ortto records. Add a Filter on the activity type so only the ones you want reach the log.

Will changes in the sheet go back to Ortto?

No. These workflows copy Ortto changes into the sheet. Edit people in Ortto and the sheet follows.
