Connect Gelato and Google Sheets

Gelato prints and ships your products through its production network and reports product, template, stock and production changes. A Google Sheet gives print-on-demand sellers one catalogue and one order tracker to share with a team. FlowMattic keeps that sheet current from your own WordPress site: new products are added, edits overwrite rows and production updates move each order's status.

Gelato and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each new Gelato store product to a catalogue sheet

Each product created in your Gelato store gets a row with its title, ID and variants, giving designers and marketers one catalogue to plan launches from.

Keep catalogue rows current when products change

Store Product Updated finds the product's row by ID and overwrites the title, status and other details, so the catalogue never shows an old version.

Remove deleted products from the catalogue

When a product is deleted in Gelato, its row is found and deleted too, so nobody plans a campaign around an item you no longer sell.

Move each order's production status on a tracker

Production Status Update looks up the order's row and writes the new status, such as printed or shipped, so customer service can answer where-is-my-order from the sheet.

Each availability change adds a dated row per region, giving you a record of when items went unavailable in a region and how long it lasted.

Keep a register of product templates

New templates are logged with their ID and name on a Templates tab, so whoever creates products later picks the right base design.

Store Product Template CreatedAdd New Row

Set up: a Gelato product catalogue

At the end, each product created in your Gelato store is added as a row to your catalogue sheet.

  1. Prepare the catalogue tab

Add headers such as Product ID, Title, Status, Variants, Created and Notes.

  2. Connect Gelato and Google

Under Connects, add your Gelato account and a Google account with edit rights on the catalogue.

  3. Use Store Product Created

Create a workflow with the Gelato Store Product Created trigger and add a test product to your store so the fields are captured.

  4. Write the product row

Add Google Sheets Add New Row, map the product fields, test it and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Store Gelato's product ID and order ID in the sheet. The update, delete and production examples look rows up by these IDs.
  • Production Status Update only moves a row that already exists. Add the order to the tracker first, or use a Router after the lookup to add a row when none is found.
  • Variants may arrive as a list. Use an Iterator for one row per variant, or Text Formatter to join them into one cell.
  • The fields above are examples; check a captured product for the exact names.

Why run this pair with FlowMattic

Gelato and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

One catalogue for the whole team

Designers, marketers and support all read the same product list without needing Gelato logins.

Every status change at one price

Runs are unlimited, so tracking each production update across hundreds of orders costs nothing extra.

Order details on your own server

Product and production data pass through your WordPress site to the sheet, not through an outside automation account.

Common questions

Can I track Gelato order production in Google Sheets?

Yes. Keep a tracker with one row per order and start a workflow on Production Status Update. It looks up the order and writes the new status with Update Row.

Will the catalogue follow product edits and deletions?

Yes, with two more workflows. Store Product Updated runs Lookup Row Data and Update Row; Store Product Deleted runs Lookup Row Data and Delete Row.

Can I see when items become unavailable in a region?

Yes. Stock Region Availability Update can add a dated row for each change, which shows when and where availability changed.

Do template changes need their own workflow?

If you want them tracked, yes. Store Product Template Created, Updated and Deleted can keep a Templates tab current in the same way as products.
