Connect Oneflow and Google Sheets

Oneflow takes your contracts from draft to signature and through their lifecycle. FlowMattic writes Oneflow contract events into Google Sheets from your WordPress site, so sales, legal and finance share a tracker of what was sent, opened, signed, declined or left to expire, and which signed contracts are coming up for renewal.

When Oneflow fires Contract Publish, FlowMattic runs Add New Row in Google Sheets with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

Oneflow and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Log every published Oneflow contract

Each contract sent for signing becomes a row with its name, counterparty, value and date, the start of a tracker that later events fill in.

Mark the contract signed on its row

When every party has signed, look up the contract ID and write the signed date, so sales and finance can see closed deals without asking.

Note when the counterparty first opens the contract

Participant First Visit finds the contract's row and fills an Opened column, so the account owner knows whether a quiet customer has even looked.

Record declined contracts with the date

A declined contract is marked on its row, giving sales a list of lost deals to review and a reason column to fill in after the call.

Contracts that go overdue are added to a Chase tab, then an email reminds the account owner to send a new period or follow up.

Build a list of ended contracts for renewal

When a contract's lifecycle ends, it is added to a Renewals tab with the counterparty and end date, so account managers plan the next agreement.

Set up: published contracts as rows

At the end, every Oneflow contract you publish for signing is added to your Google Sheet as one row.

  1. Prepare the sheet

Add a header row such as Contract ID, Name, Counterparty, Value, Owner, Published, Opened and Signed.

  2. Connect Google Sheets

In FlowMattic, open Connects and add a Google Sheets connection with an account that can edit the tracker.

  3. Start with Contract Publish

Create a workflow with the Oneflow Contract Publish trigger and add its webhook URL in Oneflow's extensions settings, as the trigger describes, then publish a test contract.

  4. Add New Row

Add Google Sheets Add New Row, map the contract fields to the columns, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Contract Sign fires for the contract as a whole, while Participant Sign fires for each person who signs. Use Contract Sign for the Signed column, or a three-party contract writes three updates.
  • Keep the Oneflow contract ID in every row. Sign, decline, visit and expiry workflows use it with Lookup Row Data.
  • The fields above are an example. Data fields you add to Oneflow templates come through with the event, so check a test before mapping.

Why run this pair with FlowMattic

Oneflow and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Contract data stays on your server

Counterparty names and contract values pass from Oneflow through your own WordPress site into the sheet, not through an outside automation account.

Every lifecycle event is covered

Runs are unlimited, so tracking visits, signatures, declines and renewals on every contract needs no bigger plan.

One tracker for sales, legal and finance

Each team reads the same sheet, so the question of whether a contract was signed is answered without opening Oneflow.

Common questions

Can Google Sheets show each Oneflow contract's status?

Yes. Add a row with Contract Publish, then build workflows on Contract Sign, Contract Decline and Contract Signing Period Expire that find the row by contract ID and update it.

What is the difference between Contract Sign and Participant Sign?

Contract Sign fires once the contract is signed. Participant Sign fires for each participant. Use Participant Sign if you want a column per signer.

Can I see who has not opened a contract?

Yes. Participant First Visit writes the date someone first opened it. Filter the sheet for published contracts with an empty Opened column.

Can I plan renewals from the sheet?

Yes. Contract Lifecycle State End, Contract Lifecycle State Cancel and Contract Lifecycle State Terminate can each add the contract to a Renewals or Ended tab with the date.

Does the sheet change anything in Oneflow?

No. Data moves from Oneflow to Google Sheets. Contracts are still created, sent and signed in Oneflow.
