On a new WooCommerce order, look up the CRM contact with WP Fusion and send a WhatsApp template
On each new WooCommerce order, WP Fusion looks up the buyer’s contact ID in your connected CRM by email, then WhatsApp Cloud API sends the customer an approved template message.

What this workflow does
Order confirmations by email are easy to miss. A WhatsApp template message reaches the customer's phone, and because templates are approved by WhatsApp in advance, they can go to buyers who have never chatted with you. This workflow sends one for each new order and also fetches the buyer's CRM contact ID through WP Fusion along the way.
The WooCommerce trigger fires when a new order is created and passes on the billing details, order number and totals. Every order starts a run.
The WP Fusion step runs Get Contact ID, which looks up a contact ID in the CRM WP Fusion is connected to, by email address. Map the billing email into it. The step only reads: it returns the ID and changes nothing in the CRM. The WhatsApp message doesn't need the ID, so it's there for you to use, for example in a tag step you add later.
The last step uses WhatsApp Cloud API to send a template message. It ships unmapped: pick an approved template from your WhatsApp Business account, map the billing phone as the recipient and fill the template's variables, such as the first name and order number. Place a test order and check Task History for what WhatsApp returned.
Order confirmation on the buyer's phone
A clothing store sends an approved order confirmation template with the order number to each customer's WhatsApp right after checkout.
Stores that tag buyers in their CRM
A shop already using WP Fusion keeps the contact ID from this flow and adds an Apply Tag(s) step after it, so each buyer is tagged in the CRM as well as messaged.
Reaching first-time buyers on WhatsApp
A gift shop whose new customers have never messaged its business number uses a template, since WhatsApp delivers templates outside the chat window.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
WooCommerce New Order CreatedFires when WooCommerce creates a new order. The buyer's billing email and phone, the order number, items and totals are passed to the WP Fusion and WhatsApp steps.
WP Fusion Get Contact IDLooks up the buyer's contact ID by email in the CRM that WP Fusion connects to. The step ships unmapped, so map the order's billing email; it reads the contact and changes nothing.
WhatsApp Cloud API Send Template MessageDelivers one of your approved WhatsApp templates to the buyer. The step arrives empty, so choose the template, map the billing phone in international format and fill in its variables.
What you need
- FlowMatticCore
- WooCommerce PluginPlugin
- WP Fusion PluginPlugin
- WhatsApp Cloud API AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add WP Fusion's Apply Tag(s) action after the Get Contact ID step and map the returned ID into it, so each buyer is tagged in your CRM, for example with a Customer tag.
- Ask for phone numbers with the country code at checkout, because WhatsApp needs the full international number to deliver the template.
- If some orders have no phone number, put a Filter between the Get Contact ID step and the WhatsApp step that continues only when the billing phone is not empty.
Questions about this workflow
Why does this WooCommerce flow look up the WP Fusion contact ID?
So the ID is available to later steps. The WhatsApp template doesn't use it as imported. It becomes useful when you add a WP Fusion step that needs it, such as Apply Tag(s).
What if the buyer isn't in my CRM?
Get Contact ID then has no contact to return. Task History shows what it gave back. The WhatsApp step doesn't depend on that ID, but any tag step you add later would need the contact to exist.
Do I need an approved WhatsApp template first?
Yes. Send Template Message sends one of the templates in your WhatsApp Business account, and WhatsApp must approve a template before it can be used. Set it up in your WhatsApp Business account, then pick it in the step.
Which order details can go into the WhatsApp message?
Any WooCommerce field you map into the template's variables, such as the customer's first name, the order number or the total. The template's own wording stays as WhatsApp approved it.
