Connect Whereby and Google Sheets

Whereby runs video meetings in the browser, often embedded in your own site. FlowMattic logs its events in Google Sheets from your WordPress site: sessions that start and end, people joining and leaving, finished recordings and transcriptions. Coaches, clinics and online schools get a meeting log they can bill, report and audit from.

Whereby and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Log each Whereby session as it starts

Every session that begins becomes a row with the room and start time, which gives you a dated record of every meeting that actually happened.

Add the end time to the session's row

When the session ends, find the room's open row and write the end time, so a formula gives the length of each meeting for billing.

Keep an attendance register for classes

Each participant who joins is added with their name and join time, giving online schools a register they can check against the class list.

Each recording that finishes uploading is added to a recordings tab with the room and date, so staff can find a past session's recording quickly.

Track how often visitors knock in the waiting room

Visitors who knock are logged with the time, which shows how often people wait for a host and at what hours more staff would help.

Set up: a row for each session

At the end, every Whereby session that starts is added to your meeting log as one row.

  1. Prepare the meeting log

Add a header row such as Room, Started, Ended and Duration, leaving Ended and Duration for the second workflow.

  2. Connect Whereby and Google Sheets

In FlowMattic, open Connects and add your Whereby account and a Google Sheets account with edit access.

  3. Start with Session Started

Create a workflow with the Whereby Session Started trigger, then join a test room from two devices so FlowMattic captures a session.

  4. Map and switch on

Add Google Sheets Add New Row, map the room name and start time, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • As the trigger description says, a session starts when at least two people are in the room. One person waiting alone does not create a row.
  • Session Ended fires after the room has had fewer than two people for some time, so the end time can be a little after the last real conversation.
  • A recurring room name can have many sessions. Look up the latest row with an empty Ended column, or store the session ID if the trigger provides one.

Triggers (9)

  • Session StartedTriggers when a room session starts, which is when there are at least 2 users in a room.
  • Session EndedTriggers when a room session ends if the number of participants has been less than 2 for some time.
  • User Joined MeetingTriggers when a user joins the meeting room.
  • User WaitingTriggers when a visitor knocks the meeting room from the waiting room.
  • User Left MeetingTriggers when a user leaves the meeting room.
  • Transcription FinishedTriggers when a transcription has finished processing.
  • Recording FinishedTriggers when a cloud recording has finished and the recording has uploaded successfully.
  • Transcription FailedTriggers when a transcription has failed to process.
  • Knock CancelledTriggers when a visitor cancels their knock from the waiting room.

Why run this pair with FlowMattic

Whereby and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Billable time with real timestamps

Start and end times from Whereby, not from memory, make session-based billing and timesheets easier to defend.

Attendance without a roll call

Join and leave rows build the register while the teacher or host runs the session.

Every meeting logged, one price

FlowMattic runs on your own WordPress site with unlimited runs, so a busy clinic or school pays nothing extra per session.

Common questions

How do I log Whereby meetings in Google Sheets?

Create a FlowMattic workflow with the Whereby Session Started trigger and a Google Sheets Add New Row step. Add a second workflow on Session Ended that updates the same row with the end time.

Can I track who attended each meeting?

Yes. Log User Joined Meeting to an attendance tab, and use User Left Meeting with Lookup Row Data and Update Cell Data to add when each person left.

Can recordings be listed in the sheet?

Yes. The Recording Finished trigger fires once the cloud recording has uploaded. Add each one to a recordings tab with the room and date.

Why did a short test not create a session row?

Whereby counts a session only when at least two people are in the room. Join from a second device or browser when you test the trigger.

Can transcripts go to the sheet?

Transcription Finished tells you a transcript is ready. Log it with the room and date so whoever writes the meeting notes knows where to look.
