Connect Airtable and Zoho CRM

Many teams plan and research in Airtable and sell from Zoho CRM. FlowMattic moves records between them from your WordPress site: a new Airtable record becomes a Zoho CRM account, lead or contact, and entries created, edited or deleted in a Zoho CRM module are written back to your base. Operations and sales work from the same data.

Airtable and Zoho CRM workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Create a Zoho CRM account from each new Airtable record

A company added to your Airtable base becomes an account in Zoho CRM with the fields you map, so sales can start work without retyping it.

Turn Airtable sign-ups into Zoho CRM leads without duplicates

Find or Create Lead checks the email first, so a person already in the CRM is not added again when they appear in another Airtable table.

Update the contact if it exists, create it if not

Search the contact by email, then a Router runs Update Contact for a known person and Create Contact for a new one, keeping one record each.

Copy new Zoho CRM deals into an Airtable base

Each deal created in Zoho CRM is added to a deals table in Airtable, where operations plan delivery and resources with their own fields.

Keep Airtable in step when a Zoho CRM entry changes

When an entry is updated in Zoho CRM, find the matching Airtable record by its Zoho ID and update it, so stage and owner stay the same in both.

Remove the Airtable record when the CRM entry is deleted

Deleting an entry in Zoho CRM finds its Airtable record and deletes it, so the base does not keep leads the sales team has thrown out.

Add Airtable call notes to the Zoho CRM contact

Notes logged in an Airtable calls table are attached to the right contact with Add Notes to Module, so the account history lives in the CRM.

Set up: Zoho CRM accounts from Airtable

At the end, every new record in your chosen Airtable table creates an account in Zoho CRM.

  1. Connect Airtable

In FlowMattic, open Connects and add your Airtable account with access to the base that holds the companies.

  2. Connect Zoho CRM

Add a Zoho CRM connection with a user who can create accounts in your organisation.

  3. Start with New Record

Create a workflow with the Airtable New Record trigger, choose the base and table, then add a test record so FlowMattic captures its fields.

  4. Add Create Account

Add a Zoho CRM Create Account step and map the company name, website, phone and industry from the record.

  5. Test and switch on

Test the step, check the new account in Zoho CRM and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • In Airtable the workflow starts from New Record, so edits to an existing Airtable record do not reach Zoho CRM by themselves. Changes made in Zoho CRM come back through the module entry triggers.
  • The Zoho CRM triggers are webhook based. Follow each trigger's instructions to send the module's events from Zoho CRM to the workflow, and pick the module, such as Deals or Leads.
  • Running both directions at once can loop. Store the Zoho record ID in an Airtable field and the Airtable record ID in Zoho, and filter out changes the workflow made itself.
  • Field names depend on your base and your Zoho CRM layout, so the mapping above is an example.

FlowMattic runs on your own WordPress site with unlimited runs, so every sync passes through your server at no per-task cost.

Common questions

How do I send Airtable records to Zoho CRM?

Create a FlowMattic workflow with the Airtable New Record trigger, then add a Zoho CRM step such as Create Account, Create Lead or Find or Create Contact and map the record's fields.

Can Zoho CRM changes update Airtable?

Yes. Use Update Module Entry (Webhook) on the module you need, find the Airtable record with Search Record and change it with Update Record.

How do I avoid duplicate leads in Zoho CRM?

Use Find or Create Lead, which looks the email up before creating. For contacts, Search Contact by Email with a Router does the same job.

Can one Airtable record create a lead and a deal?

Yes. Add Create Lead and then Create Deal in the same workflow, or create a contact first and map its ID into the deal.

Which Zoho CRM modules can trigger a workflow?

The module entry triggers work with the module you choose, such as Leads, Contacts, Accounts or Deals. Use Create Or Update Module Entry (Webhook) if you want both events in one workflow.
