Connect Gravity Forms and WooCommerce

Gravity Forms already lives on your WordPress site, often as the back-office form staff and suppliers fill in. FlowMattic turns those entries into WooCommerce changes: a supplier submission becomes a product, a stock count updates quantities, a phone order becomes a real order. It is for store teams who want simple forms in front of WooCommerce admin screens.

When Gravity Forms fires New Form Submission, FlowMattic runs Create New Product in WooCommerce with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

Gravity Forms and WooCommerce workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Create a product when an entry contains a chosen word

Supplier or consignment forms add a product only when, for example, the status field says Ready to list, so half-finished entries stay out of the catalogue.

Build a variable product with every size a supplier lists

One supplier form with a list of sizes or colours creates the variable product, then Iterator adds each option as its own variation.

Set stock levels from a warehouse count form

Staff walk the shelves with a short count form on a tablet. Each entry finds the SKU they counted and sets its stock quantity.

Approve price change requests before they go live

Sales staff request a new price through a form. A manager approves it in Human in the Loop, and only then does the store price change.

Register approved wholesale applicants as customers

Branch checks the business type and tax number fields, and only applicants who qualify get a WooCommerce customer account.

Take phone orders through a staff order form

Whoever answers the phone fills in the customer's email and product, and the store gets a proper order with a note saying it came by phone.

Send a thank-you coupon for referral form entries

Customers who refer a friend through the form get a single-use discount code by email, created in WooCommerce as the entry arrives.

Set up: products from approved entries

At the end, entries that contain your chosen word become WooCommerce products, and the rest are ignored.

  1. Prepare the form

Give the Gravity Forms form fields for product name, description, price, SKU and a status or category field to filter on.

  2. Trigger on New Form Submission

Create a workflow with Gravity Forms and New Form Submission, pick the form and submit a test entry. Both plugins run on this site, so no connection is needed.

  3. Add the Filter

Add a Filter that continues only when the status field contains your word, for example Ready to list.

  4. Create the product

Add WooCommerce Create New Product, map the name, description, price and SKU, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • These workflows start from a Gravity Forms entry and run into the store, never the other way.
  • Field names depend on your own form, so the mapping is an example. Use a price field without a currency symbol so the store receives a plain number.
  • Forms that change prices or stock should sit on a page only staff can reach, or behind a login, since anyone who can submit them can change the store.

Why run this pair with FlowMattic

Gravity Forms and WooCommerce connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Both plugins share one site

Entries and store data never leave your WordPress install, and there is no account to connect for either plugin.

Simple forms for staff

Packers, suppliers and phone staff fill in a short form instead of learning the WooCommerce product and order screens.

Checks before changes

Filter, Branch and Human in the Loop decide which entries are allowed to touch products, prices and customers.

Common questions

Can Gravity Forms create WooCommerce products?

Yes. Start with the Gravity Forms New Form Submission trigger and add Create New Product, mapping the name, price, SKU and description fields. Add a Filter first if only some entries should become products.

Is this different from the Gravity Forms product fields?

Yes. Gravity Forms product fields take payment inside the form. These workflows change the WooCommerce store itself: its catalogue, stock, prices, customers and orders.

Can a form update stock for a variation?

Use Get Product Variation or Get Product by SKU to find the item, then Update Product Variation or Update Product Stock Quantity. Giving each variation its own SKU makes the lookup simple.

Can a manager approve changes first?

Yes. Put a Human in the Loop step before the WooCommerce action. The workflow waits for the decision, and the price or stock changes only when the request is approved.
