Connect WooCommerce and FluentCRM

WooCommerce and FluentCRM sit in the same WordPress install, and FlowMattic joins them up with the store events you choose. New customers become contacts, purchases set tags, a restock emails the waitlist, and a FluentCRM tag can create a personal coupon in WooCommerce. All of it runs on your own server, with your customer data kept there.

1. TriggerNew Customer Created
2. ActionCreate or Update Contact

When WooCommerce fires New Customer Created, FlowMattic runs Create or Update Contact in FluentCRM with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

WooCommerce and FluentCRM workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each new WooCommerce customer as a FluentCRM contact

Every customer account the store creates is saved as a contact, created or updated by email, so the CRM holds the whole customer list from day one.

Email the waitlist when a product is back in stock

Shoppers who asked to be told carry a waitlist tag. On restock, the workflow fetches those contacts, loops over them and sends each one an email from FluentCRM.

Tag buyers by the product category they purchased

A purchase from a category, such as coffee or equipment, adds a matching tag. Later campaigns about that category go only to people who bought from it.

Mark customers as VIP when they pass a spend level

When a customer's total spend reaches your threshold, they get a VIP tag and a thank-you email, which starts whatever VIP treatment you run in FluentCRM.

Send a personal coupon when a win-back tag is added

When a contact gets your win-back tag, WooCommerce creates a coupon limited to their email and FluentCRM sends it to them, so lapsed customers get a reason to come back.

Start a recovery sequence for abandoned carts

An abandoned cart creates or updates the shopper's contact and enrolls them in your cart recovery sequence, which FluentCRM sends on its own timing.

Note refunds on the customer's contact record

When an order is refunded, a note with the order number and amount goes on the contact and a refunded tag is added, so nobody sends that person an upsell the next day.

Set up: new customers as contacts

At the end, every new WooCommerce customer is a FluentCRM contact with their name, email and address.

  1. Trigger on New Customer Created

Create a workflow with WooCommerce New Customer Created. Both plugins run on this site, so no connection is needed.

  2. Capture a sample

Create a test customer account, or place a test order that creates one, so FlowMattic captures the customer's fields.

  3. Save the contact

Add FluentCRM Create or Update Contact, map email, names, phone and billing address, and pick the list and tags new customers should get.

  4. Test and switch on

Test the step, open the contact in FluentCRM to check it, and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • New Customer Created fires when a customer account is created. Guest checkouts have no account, so use New Order Created or Order Paid if you want guest buyers in FluentCRM too.
  • The waitlist example needs a tag your waitlist form or button already applies. Pick that tag in Get Contact by Tag IDs.
  • Both plugins run on the same site as FlowMattic, so neither needs a connection under Connects.

Why run this pair with FlowMattic

WooCommerce and FluentCRM connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Customer data never leaves the site

Orders, contacts and workflows all live in your WordPress database, so these jobs send no customer data to an outside service.

Store events you can act on

Spend and order count thresholds, category purchases, restocks and refunds can each tag or email a contact.

Busy sales days cost the same

Runs are unlimited on your server, so a sale that brings thousands of orders adds nothing to your FlowMattic cost.

Common questions

Can these workflows run alongside FluentCRM automations?

Yes. They run beside the automations you already have. A tag that FlowMattic adds after a restock or a refund can start a FluentCRM automation, and a tag added in FluentCRM can start a workflow that creates a WooCommerce coupon.

Can guest customers be added to FluentCRM?

Yes. Start from New Order Created or Order Paid instead of New Customer Created and save the billing email and name with Create or Update Contact.

Can I record orders on the contact?

Yes. Add Add Purchase to Contact after an order trigger to store the order data on the contact, or add a note with the order number.

Can each customer get their own coupon code?

Yes. Create Coupon makes the code and Add Email(s) to Coupon limits it to that customer's email. Map the code into the FluentCRM email.

Will repeat buyers create duplicate contacts?

No. Create or Update Contact matches on email, so a repeat buyer's existing contact is updated instead of a new one being added.
