Connect Gravity Forms and Google Sheets

Gravity Forms collects the entry on your WordPress site and FlowMattic writes it into Google Sheets, in the columns you pick. Add an email to the same workflow, give each registration its own number, or check how many rows a sheet already has before taking another sign-up. It suits events, applications, quotes and order forms.

When Gravity Forms fires New Form Submission, FlowMattic runs Add New Row in Google Sheets with the data from that event.

Gravity Forms and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each Gravity Forms entry to a Google Sheet

Office staff, partners or clients who never log in to WordPress can work from a shared sheet that gets one row per entry, with the fields in the order they want.

Log the entry and email it to the person who handles it

The row is written first, then an email goes to the office with the answers and a link to the sheet, so the person on duty has both the alert and the record.

Close a workshop when the sheet reaches its capacity

Count the rows already in the attendee sheet. A Router adds the registrant while places are left and emails them a waitlist message once the limit is reached.

Give every registration a running reference number

A Counter adds one for each entry and the number goes into its own column, which gives events and application rounds a simple ID to quote on the phone.

Update the applicant's row when they send the form again

Applicants often resend a form to fix a detail. Look up their email in the sheet and overwrite that row, so reviewers read the latest answers and not two versions.

Add a one-line summary of long answers for reviewers

Forms with long text fields are slow to scan in a sheet. An AI agent writes a one-line summary that goes in its own column beside the full answer.

Write payment totals as clean numbers for accounts

Order and donation forms send amounts with currency symbols. Number Formatter turns them into plain numbers, so the sheet's totals and charts add up without manual fixes.

Set up: each entry as a sheet row

At the end, every entry of the Gravity Forms form you choose becomes one row in your Google Sheet.

  1. Add the header row

Open the Google Sheet and type a header for every field you want to keep, so each one appears as a column to map.

  2. Connect Google Sheets

Under Connects, add a Google Sheets connection with an account that can edit that spreadsheet.

  3. Trigger on New Form Submission

Create a workflow with the Gravity Forms New Form Submission trigger, choose the form, and submit one test entry so FlowMattic captures its fields.

  4. Add the row

Add Google Sheets Add New Row, pick the spreadsheet and sheet, map each field to its column, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Gravity Forms has one trigger and no actions in FlowMattic, so every workflow here starts from a new entry, and a change in the sheet cannot edit a Gravity Forms entry.
  • Fields depend on your form, so the mapping above is an example. If you add a field to the form later, add its column to the sheet and map it in the workflow.
  • Each form is chosen in its own trigger. For several forms, build one workflow per form or send them all to separate tabs.

Why run this pair with FlowMattic

Gravity Forms and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Entries go from your site to the sheet

Gravity Forms and FlowMattic both run on your WordPress site, so form data goes from your server to Google without a third service in the middle.

Busy forms cost the same

Runs are unlimited. A registration form that takes thousands of entries in launch week needs no plan change.

More than a copy of the entry

Counters, lookups, row counts and AI summaries let the sheet do real work, such as capping places or keeping one row per applicant.

Common questions

Can I email a Gravity Forms entry and log it in Google Sheets at the same time?

Yes. Put Google Sheets Add New Row after the trigger and an Email (SMTP) step after it. The email can include the answers and the sheet link, and both happen in the same workflow run.

Do I need a Gravity Forms add-on for Google Sheets?

No. FlowMattic reads the entry from the New Form Submission trigger and writes the row with its own Google Sheets app. You only need FlowMattic and a Google account that can edit the sheet.

Are earlier entries copied when I switch the workflow on?

No. The trigger fires for entries made after the workflow is live. Export older entries from Gravity Forms and import them into the sheet once.

Can different forms go to different tabs?

Yes. Create a workflow per form and pick a different sheet in each Add New Row step, or use one workflow with a Router on the form name.

Can I keep only some entries, such as paid ones?

Yes. Add a Filter after the trigger that continues only when a field has the value you want, for example a payment status of paid.
