Connect Bookings and Slack

Let your team hear about bookings in Slack. New bookings post to a channel, hosts get a direct message when their session moves, cancellations tell the front desk a slot is free, and each morning starts with the day's agenda. FlowMattic Bookings and its workflows run on your own WordPress site, with your own calendars.

Bookings and Slack workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Post each new booking in a Slack channel

Everyone who covers the calendar sees who booked, which calendar and when as soon as the booking is made, so nobody has to refresh the bookings screen.

Tell the front desk when a cancellation frees a slot

A cancelled booking posts the freed time to the reception channel, so staff can offer it to someone on the waiting list or move another client forward.

Message the host when their session is rescheduled

Hosts are the ones who need to know. The workflow matches the host's email to their Slack account and sends the old and new time in a direct message.

Ask no-shows to rebook and let the team know

When a booking is marked no-show, the attendee gets a friendly email with a link to book again, and a private channel records the miss for whoever handles fees.

Tell a rep when their one-time link is used

Sales reps send single-use booking links to prospects. When the link is booked, the rep gets a direct message, which is often the first sign the prospect is serious.

Share today's bookings every morning

At the start of the day Find Bookings lists today's sessions and one Slack message gives the team the agenda: times, names and calendars.

Remind the host to follow up after a completed session

Once a booking is marked completed, Slack sets a reminder for the host for the next morning to send notes, an invoice or a review request.

Set up: new bookings to a channel

At the end, every booking on the calendar you pick is announced in your Slack channel.

  1. Connect Slack

Under Connects, add Slack with an account that is a member of the channel. Bookings is part of FlowMattic and needs no connection.

  2. Trigger on New Booking

Create a workflow with Bookings New Booking, pick the calendar and make a test booking so FlowMattic captures its fields.

  3. Write the message

Add Slack Send Channel Message, choose the channel and build the text from the attendee name, calendar and start time.

  4. Test and switch on

Test the step, check the post in Slack and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • These workflows only post to Slack, so a Slack reply does not cancel or move a booking. Use Bookings actions such as Cancel Booking inside the workflow when a step should change one.
  • Booking Updated runs on any change to a booking. Use Booking Rescheduled or Booking Cancelled when only those changes should reach Slack.
  • Direct messages need the host's email in Bookings to match their Slack account, because Find User by Email searches on it.
  • Booking messages can include clients' names and emails. Post them in private channels if your calendars are for health or legal appointments.

Why run this pair with FlowMattic

Bookings and Slack connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

The calendar talks to the team

New, moved, cancelled and missed bookings reach the people who act on them, in the place they already read.

Bookings stay in your database

Calendars, bookings and workflows all run on your WordPress site, so client details go only to the Slack channels you choose.

Busy weeks cost the same

Runs are unlimited on every plan, so a clinic or studio with hundreds of bookings a week pays nothing per message.

Common questions

How do I get a Slack notification for each new booking?

Create a workflow with the Bookings New Booking trigger and add Slack Send Channel Message. Pick the channel, add the attendee, calendar and time to the text, test once and switch it on.

Can each host get alerts only for their own bookings?

Yes. Use Find User by Email with the host's email and Send Direct Message, so each person hears about their own sessions. A Router can also send each calendar to its own channel.

Can I cancel a booking from Slack?

Not with these workflows, which only send messages to Slack. To cancel, use the bookings screen in wp-admin, or a workflow that runs Cancel Booking, for example from a form or a Webhook.

Can the morning agenda show only one calendar?

Yes. Set the calendar and date range in Find Bookings, and build one scheduled workflow per team if each team has its own calendar and channel.

Can I post to Slack and email the attendee in one workflow?

Yes. Add Send Email to Booking before or after the Slack step. The no-show example does this, sending a rebook email and a Slack message from the same trigger.
