Connect Cognito Forms and Google Sheets

Cognito Forms lets people come back and edit their entries, which is where a one-way export goes stale. FlowMattic adds each new entry to Google Sheets, updates the row when the entry is edited and removes it when the entry is deleted, so the sheet matches the form. It suits schools, clubs and offices that run registrations and applications on Cognito Forms.

2. ActionAdd New Row

When Cognito Forms fires New Entry, FlowMattic runs Add New Row in Google Sheets with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

Cognito Forms and Google Sheets workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each new Cognito Forms entry as a row

Every registration or application lands in the sheet with the entry number in its first column, which later workflows use to find the row again.

Update the row when someone edits their entry

Lookup Row Data finds the entry number and a Filter stops if no row exists, then Update Row writes the changed answers, so the sheet never shows old details.

Remove the row when an entry is deleted

Withdrawn applications and test entries disappear from the sheet too, so head counts and totals stay right.

Write each item of a repeating section as its own row

A family registration may list several children in a repeating section. An Iterator writes each child to a Participants tab, one row each.

Log payment totals as plain numbers

For Cognito Forms that take payments, Number Formatter writes the order amount without currency symbols so the sheet can total fees by event.

Sort entries into tabs by the option chosen

A Router reads a choice field, such as session or location, and adds each entry to that tab, so each organiser only sees their own group.

Set up: each new entry as a row

At the end, every new entry in your Cognito form adds a row to your Google Sheet, keyed by its entry number.

  1. Prepare the sheet

Add a header row with Entry number first, then one column for each field you want to keep.

  2. Connect Google Sheets

In FlowMattic, open Connects and add a Google account that can edit the spreadsheet.

  3. Start with New Entry

Create a workflow, choose Cognito Forms and New Entry, connect the form and submit a test entry.

  4. Add New Row

Add Google Sheets with Add New Row, map the entry number and fields to the columns, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Cognito Forms has triggers only here, so these workflows start from an entry. Google Sheets edits cannot change an entry in Cognito Forms.
  • Update Entry and Entry Deleted need the entry number to find the right row. Map it into the sheet from the very first workflow.
  • Repeating sections arrive as a list. Loop over them with an Iterator, or join them into one cell with Text Formatter, rather than mapping them straight to a column.

Why run this pair with FlowMattic

Cognito Forms and Google Sheets connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

The sheet follows every edit

Changes and deletions in Cognito Forms reach the sheet too, so it is never a stale copy.

Entries pass through your server

FlowMattic runs on your own WordPress site, and only the fields you map are written to Google Sheets.

Registration season costs the same

Runs are unlimited, so a busy enrolment week with many edits needs no bigger plan.

Common questions

How do I connect Cognito Forms to Google Sheets?

Create a workflow with the Cognito Forms New Entry trigger, add Google Sheets Add New Row and map the fields. Add two more workflows with Update Entry and Entry Deleted if the sheet should follow edits and deletions.

Will editing an entry add a second row?

Not if you use Update Entry with Lookup Row Data and Update Row. The entry number finds the existing row and the new answers replace the old ones.

Can each repeating section item have its own row?

Yes. Run an Iterator over the repeating section and add a row for each item, with the entry number on every row so they can be traced back.

Can I keep deleted entries instead of removing them?

Yes. Instead of Delete Row, use Update Row to write Deleted and the date into a status column, which keeps a record for audits.
