Connect Cognito Forms and Mailchimp

Cognito Forms handles registrations, applications and order forms with calculations and repeating sections. Mailchimp sends the newsletters and follow-ups. FlowMattic links them from your WordPress site, so each new entry becomes a Mailchimp member with tags drawn from the answers, and later edits or deletions in Cognito Forms are reflected in your audience too.

When Cognito Forms fires New Entry, FlowMattic runs Add New Member in Mailchimp with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

Cognito Forms and Mailchimp workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each Cognito Forms respondent to your Mailchimp audience

Name and email from every new entry become a Mailchimp member, so the welcome automation for that audience starts without anyone exporting entries.

Tag new members with the options they chose on the form

Registrations for classes, camps or courses carry a choice field. A Router applies a tag per option, so each group gets the emails meant for its session.

Swap tags when a respondent edits their entry

If someone changes their selection after submitting, Update Entry removes the old tag and adds the new one, so they stop getting emails for the session they left.

Remove members whose entries you delete

Deleting a test, spam or withdrawn entry in Cognito Forms also removes that email from the Mailchimp audience, so the list matches the entries you keep.

Save application answers as a note on the member

For membership or volunteer applications, Text Formatter joins the key answers into a short summary and adds it as a member note, so whoever writes the follow-up has the context in Mailchimp.

Tag high-value order form entries for a thank-you campaign

Cognito Forms can total an order. A Filter on that total tags bigger buyers in Mailchimp, so a personal thank-you or VIP offer reaches the right people.

Set up: respondents as Mailchimp members

When you finish, each new Cognito Forms entry from someone who opted in becomes a member of your Mailchimp audience.

  1. Add a consent field

Give the form a checkbox for email updates so you only add people who agreed.

  2. Connect Mailchimp

Add your Mailchimp account under Connects so FlowMattic can see your audiences.

  3. Start with New Entry

Create a workflow with the Cognito Forms New Entry trigger, follow its steps to link the form and submit a test entry.

  4. Filter and add

Add a Filter on the consent checkbox, then Add New Member with the audience, email and name. Test it and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Every workflow on this page starts from a Cognito Forms entry, so data moves from Cognito Forms into Mailchimp. Mailchimp's triggers cannot edit an entry.
  • Field names depend on how you built the form, for example Name First or a custom label. Map from a captured test entry.
  • Mailchimp's tag and note actions need the person to be a member already. Add New Member comes first for people who may be new.
  • Delete List Member removes the person from the audience. If you would rather keep their history, tag them as removed instead.

Why run this pair with FlowMattic

Cognito Forms and Mailchimp connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Answers become segments

Choices, totals and dates on the form turn into Mailchimp tags and notes you can target, not just an email address.

The audience follows your entries

Edits and deletions in Cognito Forms are reflected in Mailchimp, which keeps the list tidy without manual cleanup.

Run it from WordPress

FlowMattic runs on your own site with unlimited runs, so a busy registration season needs no bigger plan.

Common questions

How does the Cognito Forms Mailchimp integration work?

A Cognito Forms trigger in FlowMattic, such as New Entry, starts a workflow that adds or changes a Mailchimp member. You map the email, name and any answers to merge fields or tags, and test each step with a real entry before switching it on.

Can I add respondents to different audiences?

Yes. Use a Router with a condition on a form field, and give each path its own Add New Member step pointing at a different audience.

Can entries from a repeating section become tags?

Yes. Loop over the repeating section with Iterator and run Add Member Tag for each item, so a family registering three children gets a tag for each class.

What happens when an entry is edited after submission?

The Update Entry trigger runs with the changed entry. Use it to swap tags or add a note, so Mailchimp reflects the latest answers.

Do I need to export entries to Mailchimp any more?

Not for new entries once the workflow is on. For entries made before that, export them from Cognito Forms and import them into Mailchimp once.
