Connect Fluent Forms and Gmail

Fluent Forms can send its own notifications, but replies are easier when the email comes from the Gmail account you already work in. FlowMattic sends entries and payment confirmations through Gmail, prepares drafts you finish by hand, files the threads under a label and can carry on a conversation the person started earlier. It suits freelancers, schools and small services on WordPress.

Fluent Forms and Gmail workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Send each Fluent Forms entry from your Gmail account

The entry arrives in the team inbox as a normal Gmail message with the answers laid out, and the thread sits in the account you answer clients from.

Thank paying customers personally after a payment form

When a payment entry comes in, Gmail sends a short thank-you from your own address with what happens next, which reads warmer than a receipt.

Prepare a reply draft you finish by hand

Text Formatter builds a greeting and a summary of the request, and Create Draft puts it in Gmail, so a consultant only adds the personal part before sending.

File every website enquiry under one Gmail label

After the email is sent, FlowMattic finds it and adds a Website enquiries label, so all form traffic can be read, searched or filtered in one place.

Tell the visitor on the page that a copy is in their inbox

Gmail sends the person a copy of their answers, then Set Custom Response replaces the success message with a note that names the address it went to.

Continue the existing thread when a client follows up

For a follow-up form, Find Email looks for the client's last message and Reply to Email answers inside that thread, so the history stays together.

Set up: entries sent from your Gmail

When you finish, each new entry on your Fluent Form is emailed from your Gmail account.

  1. Connect Gmail

Add your Gmail account under Connects in FlowMattic. Fluent Forms is on the same WordPress site, so it needs no connection.

  2. Choose New Form Submission

Start a workflow with the Fluent Forms New Form Submission trigger, pick the form and submit a test entry.

  3. Compose the email

Add Send Email, set who it goes to and write a subject and body that use the entry's fields.

  4. Test and switch on

Send the test email, check how it looks in the inbox and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Workflows on this page start from a Fluent Forms entry, a Schedule or a Webhook, and Gmail steps follow.
  • New Payment Submission (Pro) needs Fluent Forms Pro. New Form Submission works with the free plugin.
  • Find Email returns the message that matches your search. Search by the sender's address and a subject word so it picks the right thread.
  • Fields in the mapping are examples; every form has its own field names.

Why run this pair with FlowMattic

Fluent Forms and Gmail connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Conversations stay in Gmail

Messages are sent and filed in the Gmail account you already use, so replies, labels and search work as they always have.

Runs on your WordPress site

FlowMattic runs on your own server with unlimited runs, so a busy enrolment week costs the same as any other.

The form page can change too

Fluent Forms actions let the same workflow update what the visitor sees after submitting, not only what lands in the inbox.

Common questions

Is this different from Fluent Forms' own email notifications?

Yes. Notifications go out through your site's own mail setup. With FlowMattic, the email is sent through your Gmail account, appears in its Sent folder and can be drafted, labelled or sent as a reply in a thread.

Can I send different emails depending on an answer?

Yes. Add a Router after the trigger and give each path its own Send Email, for example one message for workshop bookings and another for private sessions.

Can I keep a sent copy of each entry organised?

Yes. Use Find Email after sending and Add Label to Email, so every message created by the form carries the same Gmail label.

Can a Gmail email start a Fluent Forms workflow?

No. These workflows send email rather than react to it. Workflows begin with a form entry, a Schedule or a Webhook, and Gmail steps follow.
