Connect FluentCRM and Gmail

FluentCRM sends your newsletters and sequences. Gmail is where real conversations happen. FlowMattic connects the two on your WordPress site, so a new contact, a tag or a click on a key link can produce a personal email or a ready draft from your own Gmail address, and replies reach a person instead of a marketing sender.

FluentCRM and Gmail workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Send a personal hello to each new contact and note it

Founders and consultants write to every new lead from their own inbox. Add Note to Contact then records in FluentCRM that the personal email went out.

Draft a follow-up when a contact clicks your booking link

A click on the booking or pricing link is a buying signal. A Filter checks the URL and Gmail saves a draft to that contact, so the rep only reviews and sends.

The tag might come from a form, a sequence or a teammate. Whoever owns sales gets an email with the contact's name, email and company straight away.

Nudge non-openers personally three days after a campaign

When a campaign finishes, wait three days, fetch who did not open it, and draft a short personal note to each. Best for small B2B lists where every contact matters.

An unsubscribe from a customer can be a warning sign. A Filter keeps contacts tagged Customer, and Gmail emails the account manager so they can check in.

After a campaign is archived, the people who clicked are fetched and formatted into one email for sales, who follow up while interest is fresh.

Set up: a personal hello to new contacts

By the end, each new FluentCRM contact receives a short email from your Gmail address and gets a note saying so.

  1. Connect Gmail

Add a Gmail connection under Connects, signed in as the person whose name should be on the email.

  2. Start from New Contact Created

Create a workflow with the FluentCRM New Contact Created trigger and add a test contact to capture its fields.

  3. Write the email

Add Gmail Send Email, put the contact's email in To, and write a short message that uses their first name.

  4. Log it in FluentCRM

Add FluentCRM Add Note to Contact with a line such as Personal welcome sent from Gmail, test the workflow and switch it on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Gmail has no triggers here, so replies that land in Gmail do not update FluentCRM. Log what matters with Add Note to Contact or a tag.
  • Emails sent through Gmail are separate from FluentCRM's own sending, so they do not appear in FluentCRM's email reports.
  • Email Clicked fires for any link in any email, so filter on the URL or the campaign before acting on it.
  • Gmail is for one-to-one mail. Use FluentCRM campaigns for anything sent to the whole list.

Why run this pair with FlowMattic

FluentCRM and Gmail connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

The CRM stays in WordPress

Contacts, tags and notes stay in your FluentCRM database on your own server. Only the message itself goes to Google.

Personal mail at list scale

Runs are unlimited, so a personal note for every new lead costs the same whether you get five a week or five hundred.

Drafts keep a human in charge

Create Draft lets the workflow do the typing while a person decides what actually gets sent.

Common questions

Why send through Gmail when FluentCRM can send email?

FluentCRM is built for campaigns and sequences. Gmail is better for one-to-one messages from a named person, because the email sits in their Sent folder and the reply comes back to their inbox like any normal conversation.

Can I review the emails before they go out?

Yes. Use Create Draft instead of Send Email. Each message waits in Gmail Drafts with the recipient and text filled in, and you send it when you are happy with it.

Can a Gmail reply add a tag in FluentCRM?

Not with this pair, because Gmail has no triggers in FlowMattic. You can still tag a contact in the same workflow that sends the email, for example Contact emailed personally.

Which FluentCRM events are most useful with Gmail?

New Contact Created, Contact Added to Tags, Email Clicked and Contact Status Change to Unsubscribed all suit personal follow-up. Campaign Sent works well with the Get Contacts Who Clicked Email and Get Contacts Who Did Not Open Email actions.

Will a large campaign create hundreds of drafts?

It can. Add a Filter before the Iterator, for example only contacts with a Customer tag or a company set, so the drafts stay a list a person can work through.
