Connect WooCommerce and ClickUp

Give the people who pack, restock and refund their work as ClickUp tasks the moment WooCommerce has something for them, and let a status change in ClickUp move the order on in your store. It suits shops where fulfilment, purchasing and customer care already plan their week in ClickUp.

Do this in ClickUp25 actions

1. TriggerNew Order Created
2. ActionCreate Task

When WooCommerce fires New Order Created, FlowMattic runs Create Task in ClickUp with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

WooCommerce and ClickUp workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Open a fulfilment task for every new order

Each order lands in the packing list with its number, items and shipping address, so the warehouse works from ClickUp instead of refreshing the WooCommerce orders screen.

Complete the order when its ClickUp task moves to shipped

Packers already update the task. A Filter checks for your shipped status and the workflow changes the WooCommerce order to completed, so the customer's status email goes out without anyone opening wp-admin.

Give purchasing a restock task when stock runs low

When a product hits its low stock threshold, a task with the product name and SKU goes to the buyer's list and gets a restock tag, so reorders are planned before the shelf is empty.

Turn each refund into a task with a checklist

Refunds involve several people. The task carries a checklist for restocking the item, telling accounts and noting the reason, and nothing is marked done until every box is ticked.

Copy ClickUp comments to the order as notes

When the team discusses a delayed parcel on the task, the comment is added to the WooCommerce order as a note, so whoever answers the customer sees the same story.

Send one and two star reviews to customer care

A Filter lets only low ratings through, and each becomes a task for the care team with the review text and product, so unhappy buyers hear back from a person.

Put large orders on a separate list for a second check

A Router reads the order total. Orders above your limit open a task in a review list with a subtask for the payment check, while ordinary orders go straight to packing.

Set up: a fulfilment task per order

When you finish, every new WooCommerce order creates one task in the ClickUp list you choose.

  1. Add your ClickUp account

In FlowMattic, open Connects and add a ClickUp connection for the workspace that holds your fulfilment list.

  2. Pick the order trigger

Create a workflow and choose WooCommerce with New Order Created. Place a test order in your store so FlowMattic has a real order to work with.

  3. Build the task

Add a ClickUp step with Create Task, choose the space and list, and put the order number in the task name so later workflows can find the order again.

  4. Test and switch on

Run the step with the captured order, check the task in ClickUp, then turn the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • ClickUp's actions here create tasks, subtasks, comments, tags and checklists, but there is no action that changes an existing task's status or fields.
  • Workflows that go from ClickUp back to WooCommerce need the order ID on the task. Keep it in the task name or description when the task is created.
  • Task Status Updated runs for every status change on the list, so add a Filter for the one status that should touch the order.

Why run this pair with FlowMattic

WooCommerce and ClickUp connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Order data stays on your site

Customer names and addresses go from your store to ClickUp through your own WordPress server, with no outside automation account holding a copy.

Peak season costs the same

Runs are unlimited, so a sale weekend that creates thousands of tasks needs no bigger plan than a slow month.

Both directions in one builder

WooCommerce events open tasks and ClickUp events update orders, and both kinds of workflow sit side by side on the same canvas.

Common questions

Can a ClickUp task mark the WooCommerce order as completed?

Yes. Start a workflow with Task Status Updated, add a Filter for the status your team uses for shipped, then a WooCommerce Change Order Status step that sets the order to completed using the order ID stored on the task.

Which order details can go into the task?

Anything the New Order Created trigger captures, such as the order number, line items, totals, customer note and shipping address. Map them into the task name and description, or into dates on the task.

Can different products go to different lists?

Yes. Put a Router after the order trigger with one path per product category or shipping method, and point each path's Create Task step at its own list.

What happens to the task if the order is cancelled?

Build a second workflow on Order Status Set to Cancelled that posts a comment on the task with Post Task Comment, or removes it with Delete Task if you keep the task ID on the order.

Does this work with WooCommerce Subscriptions?

The WooCommerce triggers include WooCommerce Subscription Created and WooCommerce Subscription Status Updated, so a new or paused subscription can open its own ClickUp task the same way an order does.
