Connect WooCommerce and Fluent Support

WooCommerce knows what each customer bought; Fluent Support knows what went wrong. Both run on your WordPress site, and FlowMattic joins them. Failed payments, low reviews and cancelled subscriptions open tickets, high spenders get a VIP tag when they write in, and a closed complaint can end with a coupon. Built for store owners who answer their own support.

WooCommerce and Fluent Support workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Open a tagged ticket for each made-to-order purchase

Custom orders need a conversation about sizes or artwork. A Filter keeps orders for those products, then a ticket opens in the customer's name tagged Order Inquiry, so details are agreed in one thread.

Create an agent ticket when a payment fails

An order set to failed opens a ticket from your team to the customer, with the order number and total, so someone offers another way to pay before the sale is lost.

Turn low-star product reviews into support tickets

A Filter passes reviews of one or two stars. The reviewer gets a ticket about the product they rated, which often fixes the problem before it costs another sale.

Tag tickets from high-spending customers as VIP

When a ticket comes in, Get Customer Total Spent checks the buyer's lifetime spend in WooCommerce. Customers above your threshold get a VIP tag so agents answer them first.

Send an apology coupon after a complaint is closed

Tickets tagged as complaints end with a one-time WooCommerce coupon locked to the customer's email, sent by email once the agent closes the ticket.

Ask why when a subscription is cancelled

A Filter on WooCommerce Subscription Status Updated keeps cancellations, and an agent ticket asks the customer what went wrong, which gives you a chance to keep them.

Add new store customers to the helpdesk customer list

Every new WooCommerce customer is created in Fluent Support with Create OR Get Customer Info, so their profile is ready the first time they write in.

Set up: a tagged ticket for custom orders

At the end, each new order for your made-to-order products opens a Fluent Support ticket tagged Order Inquiry.

  1. Start with New Order Created

Create a workflow with the WooCommerce New Order Created trigger. WooCommerce and Fluent Support run on this site, so neither needs a connection. Place a test order to capture the fields.

  2. Keep only custom orders

Add a Filter that checks the product name or category in the order line items, so regular orders do not open tickets.

  3. Create the ticket

Add Fluent Support Create a New Ticket Using Customer, map the billing email and name, and write a title and message that include the order number.

  4. Tag and switch on

Add Add Tag to Ticket (Pro) with the new ticket's ID and the Order Inquiry tag, test each step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Add Tag to Ticket (Pro) and Remove a Tag From Ticket (Pro) need Fluent Support Pro. The ticket and customer actions work with the free plugin.
  • Opening a ticket for every order fills the helpdesk fast. Filter on product, category or order total so only orders that need a conversation create one.
  • To look up a buyer from a ticket, match on email. Customers who write in from a different address than their billing email will not be found by Get Customer Total Spent.

Why run this pair with FlowMattic

WooCommerce and Fluent Support connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Store and helpdesk on one server

Orders and tickets never leave your WordPress site; FlowMattic moves data between two plugins in the same database.

Every order and ticket counts the same

Runs are unlimited, so a store with thousands of orders and tickets a month pays nothing more for these workflows.

Context in both directions

Order events can open tickets, and ticket events can read spend, orders and coupons from WooCommerce.

Common questions

Can Fluent Support show WooCommerce order details on a ticket?

With FlowMattic you can put order details into the ticket you create, such as the order number and items in the title or message. For tickets customers open themselves, look up their orders with Get Orders by Email and tag the ticket from the result.

Do I need Fluent Support Pro?

Only for the tag actions. Creating tickets, replying and managing customers work with the free version of Fluent Support.

Can I open tickets for refunds?

Yes. Use Order Status Set to Refunded or Product Refunded as the trigger and create an agent ticket that asks for feedback or confirms the refund.

Can an agent's reply be logged on the WooCommerce order?

Yes, if the ticket holds the order number, for example in its title. Start with Agent Replies to a Ticket, pull the number out with Text Formatter and run Add Order Note on that order, so the shop team sees the support history.

Can I stop duplicate tickets for the same order?

Trigger on a single status, such as Order Status Set to Processing, rather than Order Updated, which can fire several times for one order.
