Connect FluentCRM and Notion

FluentCRM holds your contacts and campaigns on WordPress, and Notion is often where the team plans and keeps notes. FlowMattic links them so subscribers, companies and sent campaigns show up in Notion databases, and people added in Notion become FluentCRM contacts with the right tags, all from the same site.

1. TriggerContact Status Change to Subscribed

FluentCRM and Notion workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Add each newly subscribed contact to a Notion directory

When a contact's status turns subscribed, one item is created for them in a Notion database, so the team has a list of confirmed people without exporting from FluentCRM.

Turn Notion event sign-up lists into tagged contacts

Staff record people met at events in a Notion database. Each new item creates or updates the FluentCRM contact and tags them with the event, ready for a follow-up email.

Open an account plan page when a contact is tagged VIP

Keep a log of every campaign you send

Write Notion status changes back as contact notes

When someone updates a person's item in Notion, the workflow finds the contact by email and adds a note, so FluentCRM shows the latest status next to the email history.

Set up: subscribed contacts to Notion

When you are done, each contact who becomes subscribed in FluentCRM gets one item in your Notion database.

  1. Prepare the database

In Notion, create a database with properties such as Name, Email, Lists and Subscribed on, in a workspace the account you connect can edit.

  2. Connect Notion

Add a Notion connection under Connects in FlowMattic. FluentCRM is on the same WordPress site, so it needs no connection.

  3. Pick the trigger

Create a workflow with FluentCRM's Contact Status Change to Subscribed and confirm a test contact so FlowMattic captures the data.

  4. Create the item

Add Notion's Create Database Item, choose the database, map the contact fields to properties, test it and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Notion has two triggers, New Database Item and Updated Database Item, so Notion-side workflows start from a database change, not from a page edit.
  • Property names come from your Notion database, so the mapping above is an example.
  • A contact who unsubscribes and subscribes again triggers a second time. Use Find Database Item first if you want to update the existing item instead.

Why run this pair with FlowMattic

FluentCRM and Notion connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Contacts never leave your stack

FluentCRM and FlowMattic both run on your WordPress site, so contact data goes straight from your server to Notion.

No count on contacts or runs

Runs are unlimited, so a list that grows by thousands a month adds no cost to the workflow.

Notion can feed the CRM

With Notion's New Database Item and Updated Database Item triggers, notes taken by the team can turn into contacts, tags and notes in FluentCRM.

Common questions

Can I sync FluentCRM tags to a Notion property?

Yes. Start from Contact Added to Tags, look up the person with Find Database Item, then use Update Database Item to set a tags or segment property on their item.

Can a Notion item add someone to a FluentCRM list?

Yes. Start from New Database Item, run Create or Update Contact with the email, then Add Lists to Contact with the list you choose.

Will the workflow copy my existing contacts?

Not by itself, because triggers react to new events. For existing people, run a Schedule with Get Contact by Status or Get Contact by List IDs and loop over the result with Iterator.

Can I add a comment to a contact's Notion page?

Yes. Find the page with Find Page (By Title) or Find Database Item, then use Create Comment on page with text from the FluentCRM event, such as an email that was clicked.
