Connect AI Agents and FluentCRM

Give FluentCRM an assistant that reads each contact and does the small thinking your team keeps putting off: a profile note, the right tag, a first draft of a reply. The agent runs inside a FlowMattic workflow on your WordPress site, starts from a FluentCRM event or a schedule, and writes its answer straight back to the contact.

Do this in AI Agents1 action

1. TriggerNew Contact Created
2. ActionExecute Agent

When FluentCRM fires New Contact Created, FlowMattic runs Execute Agent in AI Agents with the data from that event.

You build this in the FlowMattic workflow builder on your own site. See the setup steps

AI Agents and FluentCRM workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Write a short profile note for every new contact

The agent reads the fields a new contact arrives with, such as company, source and message, and leaves a note on the record saying who they are and what to do next.

Draft a reply when a demo tag is added, then approve it

Tagging a contact for a demo asks the agent for a personal email. A person reads the draft in Human in the Loop before FluentCRM sends it, so nothing goes out unchecked.

Tag contacts by the topic of the link they clicked

When someone clicks a link in a campaign, the agent reads the URL and picks an interest tag from your list, so later sends go to people who showed that interest.

Classify leads from an outside landing page before they enter the CRM

A landing page on another platform posts to a FlowMattic webhook. The agent tidies the answers and decides the lead type, then the contact is created and tagged to match.

Rewrite the pitch for people who skipped a campaign

Once a week, fetch the contacts who did not open a campaign, loop over them and let the agent write a shorter, more personal version for each before FluentCRM sends it.

Summarise a new company record for the account owner

B2B teams that track companies in FluentCRM get a note on each new company with what the business does and the questions worth asking on a first call.

Set up: a profile note for each new contact

At the end, every contact FluentCRM creates gets a note written by your agent within the same workflow run.

  1. Connect an AI provider

Under Connects, add the AI provider the agent will use. The AI Agents app supports OpenAI, Anthropic, Google Gemini, Mistral and several others.

  2. Start from New Contact Created

Create a workflow with the FluentCRM New Contact Created trigger, then add a test contact so FlowMattic captures its fields.

  3. Give the agent its job

Add AI Agents with Execute Agent. Write the goal in plain words, for example a three-line profile and one suggested next step, and pass in the contact fields.

  4. Save the note

Add FluentCRM Add Note to Contact, map the contact's email and the agent's answer, test the step and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • AI Agents has no triggers, so each workflow starts from a FluentCRM event, a Schedule or a Webhook, and the agent is a step in the middle.
  • The agent can only use the facts you pass in. Map the contact fields it needs, and ask for a fixed format if a later step reads its answer as a tag name.
  • Anything the agent writes for customers can wait for a person to approve it. Put Human in the Loop between the agent and the send step.

Why run this pair with FlowMattic

AI Agents and FluentCRM connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Contact data stays on your site

FluentCRM and FlowMattic both live in your WordPress install, so contact details only leave it for the AI provider you choose.

No task count on every contact

Workflow runs are unlimited, so a busy list that creates hundreds of contacts a day costs the same in FlowMattic as a quiet one. Your AI provider bills its own usage.

Pick the model per workflow

One workflow can use a cheap fast model for tagging and another a stronger model for customer drafts, each with its own connection.

Common questions

Which AI models can the FluentCRM agent use?

The AI Agents app works with OpenAI, Anthropic, Google Gemini, Mistral, xAI, Groq, DeepSeek, Perplexity and OpenRouter. You add the provider under Connects and choose it in the Execute Agent step.

Can the agent send emails to contacts by itself?

It drafts the text, and a FluentCRM Send Email to Contact step sends it. If you want a person to check every draft first, add Human in the Loop between the two steps.

What can start one of these workflows?

Any FluentCRM trigger, such as a new contact, a tag added, an email opened or clicked, or a company created. A Schedule or a Webhook from another tool can also start it.

Can the agent decide which tag a contact gets?

Yes. Give it your list of tag names in the goal and ask it to answer with one of them only. Map that answer into Add Tags to Contact.

Does this replace FluentCRM's own automations?

No. FluentCRM automations keep running as they do now. These workflows add a thinking step where a fixed rule is not enough, and they can tag a contact so a FluentCRM automation picks it up.
