Connect Airtable and Gmail

Send email from your own Gmail address when a record lands in Airtable, and turn the emails you care about into records. Outreach lists, applications, orders and supplier invoices are typical uses. FlowMattic runs each workflow on your WordPress site, sends through your Gmail account, and can leave a draft for you to check instead of sending.

Airtable and Gmail workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Send a Gmail message for each new Airtable record

Applicants, buyers or new partners added to a table get an email from your Gmail address straight away, written with their name and details from the record.

Prepare outreach drafts you check before sending

For cold outreach or sensitive replies, an AI agent writes a personal email from the record and Gmail saves it as a draft, so you read and send each one yourself.

File labelled emails as Airtable records every hour

Label supplier invoices or enquiries in Gmail. A schedule finds the labelled emails, loops over them, creates a record for each and swaps the label so nothing is filed twice.

Follow up three days after a record is added

After the first email, a Delay waits three days and a second message goes out, which covers the polite nudge most small teams mean to send and forget.

Pick the email to send by the record's type

A Router reads a type field such as quote, booking or complaint and sends the matching message, so one table serves several kinds of request.

Mark the record as emailed after the message goes out

Once Gmail sends the email, Update Record ticks a sent field and stores the date on the record, so the table shows who has been contacted.

Set up: an email for each new record

At the end, every new record in your Airtable table sends one email from your Gmail account to the address on the record.

  1. Connect Gmail

Under Connects, add a Gmail connection with the Google account you want emails to come from.

  2. Connect Airtable

Add an Airtable connection that can read the base, and make sure the table has an email field.

  3. Trigger on New Record

Create a workflow with Airtable New Record, choose the base and table, and add a test record with your own email address.

  4. Write the email

Add Gmail Send Email, map the email field to the recipient, write the subject and body with the record's fields, test it on yourself and switch it on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Gmail has no triggers in FlowMattic. To act on incoming email, run a Schedule with Find Email or Find Multiple Emails and change a label on each processed email so it is not picked up twice.
  • Airtable's only trigger is New Record, so editing a record does not send another email.
  • Send the first test email to yourself. The subject and body use the record's fields, so an empty field leaves a gap in the message.

Why run this pair with FlowMattic

Airtable and Gmail connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Emails come from your own address

Replies land in your Gmail inbox and the thread looks like any other email you sent, which helps with outreach and customer messages.

Drafts when you want control

Swap Send Email for Create Draft in any example, and the workflow prepares the message while you decide when it goes.

No charge per email sent

FlowMattic runs on your WordPress site with unlimited runs, so a long outreach list costs the same as a short one.

Common questions

How do I use Airtable with Gmail to send emails automatically?

Start a FlowMattic workflow with Airtable New Record and add Gmail Send Email. Map the record's email field to the recipient and its other fields into the subject and body. Each new record then sends one email.

Can a new email in Gmail create an Airtable record?

Yes, on a schedule. Gmail has no trigger here, so a Schedule runs Find Multiple Emails, Iterator loops over the results and Create Record adds each one. Change a label afterwards so they are not added again.

Can I check emails before they are sent?

Yes. Use Create Draft instead of Send Email. The draft sits in Gmail until you review and send it, or a later Send Draft step sends it.

Can I reply in the same Gmail thread?

Yes, when you have the email's thread from Find Email. Reply to Email answers in that thread, which suits workflows that handle incoming messages.

Can the email include an attachment link from Airtable?

Put the attachment URL from the record into the email body as a link. The reader opens the file from Airtable's link.
