Connect Calendly and Slack

Calendly fills the calendar, but the people who run the calls live in Slack. FlowMattic posts each booking to the right channel, tells the host when someone cancels, flags no-shows for sales and sends a list of the day's meetings every morning. Built for sales teams, agencies and coaches who share a calendar.

1. TriggerInvitee Created
2. ActionSend Channel Message

When Calendly fires Invitee Created, FlowMattic runs Send Channel Message in Slack with the data from that event.

Calendly and Slack workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Post every new Calendly booking to a Slack channel

The team sees who booked, which event type and when, with the invitee's answers to your booking questions, without checking the Calendly dashboard.

Direct message the host when an invitee cancels

Find the host's Slack account by email and send them the cancellation with the reason the invitee gave, so they can reuse the slot or reach out.

Flag no-shows for a follow-up in the sales channel

When a host marks an invitee as a no-show, the sales channel gets their name and email so someone tries to rebook them the same day.

Send routing form answers to the channel of the right team

A Router reads the routing form answers, such as region or company size, and posts each submission to the channel of the team that will take the call.

Open a Slack channel for each onboarding call

A Filter keeps bookings of your onboarding event type. A channel named after the client is created and the account manager is invited, ready before the call starts.

Set a Slack reminder to prepare for each call

Add Reminder creates a Slack reminder for the host ahead of the meeting time, with the invitee's name and answers, so preparation does not depend on calendar pop-ups.

Let an AI agent write a pre-call brief for the team

The AI Agent reads the booking answers and the invitee's company, writes a short brief with talking points and posts it to Slack for whoever takes the call.

Post the day's scheduled meetings each morning

A Schedule trigger runs at the start of the day, List Scheduled Events pulls today's calls and one message lists them, so the team plans around the calendar.

Set up: new bookings posted to Slack

After these steps, each meeting booked through your Calendly links appears as a message in one Slack channel.

  1. Connect Calendly

Under Connects in FlowMattic, add a Calendly connection with the account whose event types you want to watch.

  2. Connect Slack

Add a Slack connection for your workspace and make sure the channel you will post to exists.

  3. Start with Invitee Created

Create a workflow with the Calendly Invitee Created trigger, then book a test meeting so FlowMattic captures the invitee and event fields.

  4. Write the message

Add Slack Send Channel Message, pick the channel, add the invitee name, event type, start time and answers, test it and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • These workflows post to Slack, so a Slack message does not book or cancel a Calendly meeting. Every workflow here starts from Calendly or a Schedule.
  • Calendly sends times in UTC. Use Date/Time Formatter to show the time in your team's time zone before posting it to Slack.
  • Find User by Email only works when the host uses the same email in Calendly and Slack.

Why run this pair with FlowMattic

Calendly and Slack connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Invitee details stay on your server

Names, emails and booking answers pass from Calendly to Slack through your own WordPress site rather than another company's automation account.

Every booking, no task limits

Runs are unlimited, so a sales team with dozens of calls a day posts every booking, cancellation and no-show on the same plan.

One event type, one channel

Filters and Routers send demos, onboarding calls and support sessions to different channels, so each team reads only its own bookings.

Common questions

How do I get a Slack message when someone books on Calendly?

Start a workflow with the Calendly Invitee Created trigger and add Slack Send Channel Message. Map the invitee name, event type and start time into the message, test it with a real booking and switch it on.

Can I post only certain event types?

Yes. Add a Filter after the trigger that checks the event type name, so only demo calls, for example, reach the sales channel.

Can cancellations go to the host instead of a channel?

Yes. Use Invitee Canceled, look up the host with Find User by Email, then Send Direct Message. The cancel reason is in the trigger data if the invitee gave one.

Can I see tomorrow's or today's meetings in Slack?

Use a Schedule trigger with List Scheduled Events for the date range you want, loop over the results with Iterator or join them into one message, and post it with Send Channel Message.

Can a Slack message mark someone as a no-show?

Not from Slack with these workflows, which only post messages there. Mark Invitee as No Show can run from another trigger, such as a Webhook from your meeting tool.
