Connect WPForms and FluentCRM

WPForms and FluentCRM both live in WordPress, yet many sites still copy form entries into the CRM by hand. FlowMattic connects them on the same install: each entry can create or update a contact, pick lists and tags from the answers, start a sequence, and record a payment or an event on the contact's timeline.

When WPForms fires New Form Submission, FlowMattic runs Create or Update Contact in FluentCRM with the data from that event.

WPForms and FluentCRM workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Create a FluentCRM contact and send a welcome email

Every submission creates or updates the contact with name, email and phone, then sends a personal welcome email from FluentCRM so the person hears back straight away.

Put contacts on lists based on what they ticked

A checkbox field asks which topics interest the visitor. A Router adds each chosen topic's list to the contact, so newsletters go only to people who asked for them.

Start a lead magnet email sequence from a download form

People who request your guide are enrolled in a FluentCRM sequence that delivers the file and follows up over the next week.

Spot repeat submitters and note it on their contact

An AI Agent compares the new entry with the existing contact found by email. Duplicates get a note and tag instead of a second record, which keeps the CRM clean.

Tag signups in rotation with a Counter

A Counter numbers each entry and a Router adds tag A, B or C in turn, which splits leads evenly between sales reps or between two versions of a follow-up.

Record payment form orders as purchases on the contact

When WPForms takes a payment, the amount and item are added to the contact as a purchase, so FluentCRM shows what each customer bought even without a store plugin.

Log event registrations on the contact timeline

Workshop and webinar signups add an event to the contact with the session name and date, so you can later see who attended what and invite them to the next one.

Set up: contacts and a welcome email

When you finish, each WPForms entry creates or updates a FluentCRM contact and sends them a welcome email.

  1. Check the form fields

Make sure the WPForms form has Name and Email fields, plus any field you want on the contact such as Phone.

  2. Start with New Form Submission

Both plugins run on this site, so no connection is needed. Create a workflow with the WPForms trigger, select the form and submit a test entry.

  3. Create or update the contact

Add Create or Update Contact and map email, first name, last name and phone. Choose a default list or tag if you like.

  4. Send the welcome

Add Send Email to Contact with your subject and message, test both steps with the captured entry and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • WPForms has one trigger and no actions here, so workflows start from an entry and all changes happen in FluentCRM.
  • Field labels depend on your form, for example Name (First) or a custom label. Map from a captured test entry.
  • Add Event to Contact and Add Note to Contact need an existing contact, so run Create or Update Contact earlier in the workflow.
  • Send Email to Contact goes out through FluentCRM, so check FluentCRM's email settings and sending service before you switch the welcome step on.

Why run this pair with FlowMattic

WPForms and FluentCRM connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

Two plugins, no API keys

WPForms, FluentCRM and FlowMattic run in one WordPress install, so there is nothing to connect and no data leaves the site.

More than a list signup

Lists, tags, sequences, notes, purchases and events can all come from one entry, depending on the answers.

Every entry, no task count

FlowMattic runs are unlimited, so a busy form costs the same as a quiet one.

Common questions

What can FlowMattic do with WPForms entries in FluentCRM?

More than add a contact. One entry can choose lists by answer, apply tags, start a sequence, add notes, events and purchases, and branch with Router, all built on the visual builder in wp-admin and tested with a real entry.

Will a returning visitor create a duplicate contact?

No, if you use Create or Update Contact. It matches by email and updates the existing contact. Use Get Contact by Email first if you want to treat returning people differently.

Can different forms add different tags?

Yes. Each workflow listens to the form you pick, so a newsletter form, a quote form and a webinar form can each apply their own tags and lists.

Can I alert the team about large leads?

Yes. Add a Router on a field such as company size, and on the bigger path send an Email (SMTP) to sales or tag the contact so a FluentCRM automation handles it.

Can I record WPForms payments in FluentCRM?

Yes. On a payment form, map the item and total to Add Purchase to Contact, so the contact's profile shows what they paid for.
