Connect Google Sheets and Gmail

A sheet of names and a Gmail inbox are enough to run a lot of small-business email, from welcome notes to follow-ups. FlowMattic joins them without code: rows can send emails or prepare drafts, a status change can notify a customer, and matching emails can be logged back into the sheet. Everything runs from your WordPress site.

When Google Sheets fires New Spreadsheet Row, FlowMattic runs Send Email in Gmail with the data from that event.

Google Sheets and Gmail workflows you can build

Each one uses only triggers and actions the two integrations ship today, plus FlowMattic's own tools. Where the library has a ready-made template, import it instead of building from scratch.

Email the person on each new row

When a booking, applicant or new client is added to the sheet, Gmail sends them a welcome or confirmation built from the row's columns.

Notify the team by Gmail when a row is added or changed

A shared tracker sends an email to the people responsible whenever a line is added or edited, so changes reach those who never open the sheet.

Prepare Gmail drafts from rows for a human check

Outreach rows become Gmail drafts rather than sent emails, so you can read, tweak and send each one yourself from Gmail.

Log matching emails into a sheet and label them

Every hour, find emails that match a search such as invoices from a supplier, add each as a row, then label it so the next run skips it.

Send follow-ups on the date written in the sheet

A daily run reads the sheet, keeps rows whose follow-up date is today, emails each contact and marks the row as sent.

Reply to a thread by filling in a reply column

Store the thread ID next to each logged email. When someone writes an answer in the Reply column, Gmail sends it in that thread.

Set up: an email for each new row

By the end, each row added to your sheet sends one Gmail message to the address in that row.

  1. Connect both Google apps

In FlowMattic, add a Google Sheets connection and a Gmail connection under Connects. They can use the same Google account.

  2. Watch the sheet

Create a workflow with New Spreadsheet Row, choose the spreadsheet and tab, and add a test row with your own email.

  3. Write the email

Add Gmail Send Email, map the Email column to the recipient, and build the subject and body from the other columns.

  4. Send a test

Test the Gmail step, check the email in your inbox and switch the workflow on.

Triggers and actions in this pair

A trigger starts a workflow. An action is something FlowMattic does in the app as a step.

Good to know

  • Gmail has no triggers in FlowMattic. To work with incoming mail, run Find Multiple Emails on a Schedule and label what you have processed.
  • Emails go out from the Gmail account you connect, so use the address your recipients expect to hear from.
  • A row added with an empty email cell will fail at the Gmail step. Put a Filter before it that checks the column is filled.
  • Writing back to the sheet you watch with New Or Updated Spreadsheet Row can start the workflow again, so watch a single column when you plan to update rows.

Why run this pair with FlowMattic

Google Sheets and Gmail connect through FlowMattic on your own site, with no separate automation account in the middle and no charge per run.

No code and no scripts to maintain

You build the workflow by picking columns on a visual builder, instead of writing and fixing script code inside the spreadsheet.

Both Google accounts, one place

Connections are added once and reused, and the data passes through your own WordPress site.

Long sheets cost the same

FlowMattic runs are unlimited, so a daily follow-up run over a long sheet costs no more than a short one.

Common questions

Do I need code for a Gmail and Google Sheets integration?

No. FlowMattic connects both accounts and you pick a Google Sheets trigger, such as New Spreadsheet Row, and a Gmail action, such as Send Email. Columns are mapped into the email on a visual builder, with no script code.

Can I review emails before they are sent?

Yes. Use Create Draft instead of Send Email. The drafts wait in Gmail, and you can send them yourself or later with Send Draft.

Can incoming emails start a workflow?

Gmail has no triggers here, so schedule Find Multiple Emails with a search, loop over the results and label each one so it is only handled once.

Can each email have different text?

Yes. Every column can be placed in the subject or body, and a Router can pick a different template based on a column such as language or plan.

Can I attach labels to emails I log?

Yes. Add Label to Email takes the message from Find Multiple Emails. Create Label sets up the label first if it does not exist yet.
